2Getting Started
Insert Your User ID and Password that were
assigned to you by the administrator.
3Once logged in your screen should look something

- All entries should start with a Call For Service
CFS - The CFS number will be carried through if
entering an Incident or Arrest report

- CFS are needed for any event that an officer may
be dispatched to or is self-generated - Events requiring a CFS can be
- False Alarms
- Assisting outside agencies
- Suspicious Persons
- Vehicle Crashes
- All events that require an Incident Report

First select Calls For Service from the drop down
list on the upper right hand side of your screen
7Entering Calls For Service
To enter a new CFS click the box to the right.
NOTE if you are not sure which box to click,
let the cursor hover over the box and a screen
will appear to tell you what it does

Your first entry will be the CFS number. The CFS
number is obtained by pressing CTRL-F5

If the event requires an Incident Report copy the
CFS number from the Event field into the Incident
field

Always check the Press Release box

The Source box refers to where the call came from
IE a 911 call or a walk in to the station

- Location vs. Address Field
- By double clicking on address or location you can
change the field from an open block to an address
field. - You can use the open block for a call with a
general location ex the 100 block of Michigan
for a traffic stop - You would use the address field for a house
address

The Description Field should be a BRIEF detail of
what occurred. Approximately 2 to 3 sentences.

The Reporting Party field should be the primary
person involved in the incident.

- The RP should be the reporting party OR the
primary person involved in the call - Using the Quick Fill option we can automatically
fill in the persons info - ALWAYS double check the info and add anything you
have IF YOU ARE SURE IT IS CORRECT

Type the last name, then the TAB key
First Name, or a partial first name, then TAB

If the person is already in the system a list
like this should appear. If there is more than
one person with the same last name, select the
proper person

- ALWAYS make sure it is the correct person
- Open the MNI file and add any info you may have
- Check your info against the info in the system
- If your info is different make a note of it and
pass it along to a supervisor - If the person is not in the system, fill in the
fields on the CFS and then add any additional
information to the MNI AFTER you have saved the
CFS.

Once you have selected the proper person DOUBLE
check their info by opening the MNI record

vs. Unknown
- The RP field can be changed by double clicking on
the RP to the left of the name field - The Last Name First / DOB field should always be
used if the RP is known - The blank RP field should always be used if the
Reporting Party is unknown - DO NOT ENTER Unknown or UNK in the Last Name
First field - DO NOT USE yourself as RP, use the suspect,
reporting party, or primary person involved. We
already know you were involved.

- If your CFS involves more than one person the
primary person should be listed in the RP field - Additional people can be added, after the CFS has
been saved, in the Field Interview file - Select Create a Linked Field Interview on the
lower right section of your SAVED CFS - Enter your FI number (CFS number)
- The auto create feature only works AFTER you have
saved your CFS - Fill in the rest of the FI box

paragraphs you may need to do an incident report

If your have more than one offense the most
serious offense Always goes first

you enter an offense

Date Range should be the time frame that the
offense may have occurred

offenders address
If, for example, the offense is traffic related
enter the closest block number to the 100s Cross
street should be used for traffic related, but
not a building or residence.

can only be done from the workstation.

- Cleared By Adult Arrest
- A physical arrest has been made
- On-site arrest or after warrant has been issued

- Rarely will this be used
- Suspect has died
- Lack of victim cooperation

- Suspended and Unfounded are not actual UCR
dispositions, even though they are listed they
should not be used.

Supplementals can be added to another officers
report, if you receive information useful for a
report add it in the form of a supplement. Do not
tell the person supplying the info it not my
case or leave the officer a note to call them.
Take the information and supplement the case.

filing paperwork
- If you receive a Kickback Message
- Correct the areas addressed in the message
- Send an e-mail to the person that reviewed and
sent the kickback that the error has been
corrected - Once your report has been approved file it in the
appropriate drawer - This requires that you periodically check the
status of your reports to see if they have been
approved

- An arrest report needs to be completed every time
an arrest is made, this includes warrant arrests

- From the Citation screen you can select to create
an arrest report - This will save time if you familiarize yourself
with these features - If you have a traffic related arrest remember to
enter your tickets first -

county jail. This may mean following up after
the arrest with the jail or waiting for the
profile to be completed.
