When Do Approvers Approve Time?
  • The time approval process begins
  • After a time reporter (Student Employee) has
    entered time for a reporting period (weekly), and
  • After time administration has run to create
    payable time, and
  • After exceptions are managed (Financial Aid
    Office, Ernestine Hutchinson).
  • Time must be approved NO LATER THAN 1200 PM
    every Monday except during special noted times on
    the posted pay schedule (located on the Financial
    Aid Office Student Employment web site).

What Do Approvers Do?
  • Approvers review all time for the time reporters
    (Student Employee) assigned to them daily
  • Approve time online (every Monday, no later than
    1200 pm)
  • Ask employees to make changes/re-enter their time
    online
  • Review time that is resubmitted for approval

What Dont Approvers Do?
  • Approvers do not change hours reported online.
    Instead, they ask time reporters to make
    adjustments.

Online Approver Tasks
  • Approve current or prior period hours for an
    individual assigned to them

Additional Approver Tasks
  • Resolve discrepancies in reported hours with time
    reporter and/or time administrator

Signing in to PeopleSoft
  • You will access the system at the University of
    Maine System website www.maine.edu. On that
    website select the link to access PeopleSoft and
    this will open the PeopleSoft login screen

Your ID and Password
  • Your UMS Logon ID takes the form of
    username_at_maine.edu. You may already know this as
    your e-mail. Your password would be associated
    with this Logon ID.
  • If you encounter problems logging on to the
    system please contact the Computer Center at
    778-7300

The Home Screen
  • The look and feel of the screen has
    been customized to reflect how the University of
    Maine is using the system. After you log in you
    will come to the screen, which has an
    Enterprise Menu from which you will launch your
    activity in the system

Navigate to Approve Time (Menu Path)
  • To approve time you select

  • PeopleSoft gt Human Resources Employees gt
    Self Service gt


    Manager gt Tasks gt Approve Time by
    Reporter or
  • Approve Time by Group
  • (To be able to Approve Time by Group you must
    contact the Financial Aid Office first before
    doing this function.)

Approve Time by Time Reporter
Enter employee ID or click the magnifying glass
to pick from a list.
Enter start date in dd/mm/yyyy format or select
calendar icon to select.
Click Search

Approve Prior Period Adjustments
  • Time from an earlier pay period can be approved
    (Your Time Reporter needs to tell you the date
    he/she worked.)
  • Possible reasons for prior period
    adjustment/approval include time type corrections
    or reporting of previously unreported hours

Helpful Hints on Navigation
  • Communication between Time Approver and Time
    Reporter
  • Hit the Tab key to move from field to field
  • When starting a new task click the HOME icon
  • Make sure you save each entry.
  • PeopleSoft times out in 20 minutes.
