• In offices many different types of documents have
  to be copied
• This is called REPROGRAPHICS

Types Of Reprographics Equipment

• Photocopier - produces exact copies of a
  document usually very quickly
• In most offices there will be a different
  photocopier
• Long runs lots of copies
• Short runs few copies
• This prevents queues building and time being
  wasted

• Ink-Jet Printer used for small no. of copies
• Laser Printer used for large no. of copies

• Binders used to hold pages of a booklet
  together and in order
• Comb binder plastic combs are used to hold
  pages in a booklet together
• Thermal binder heat is used to fasten an
  adhesive spine to keep pages together

• Laminator - uses heat to seal documents inside a
  plastic coating, this protects them from wear and
  tear
• A laminator is useful for producing notices,
  covers for booklets and security ID cards for
  staff and visitors

• Scanner it scans text, drawings, photographs
  and saves it as a computer file so that they can
  be edited or inserted into other documents
• Desk Top Publishing allows you to make
  documents including text, graphics, photographs.
  It is used to produce company booklets,
  newsletters, product catalogues,

Staff Training

• Training should be provided before new equipment
  is used on
• How to use the new equipment
• How to carry out routine tasks e.g. such as
  change ink cartridge, paper, toner
• Health and safety issues to do with the new
  equipment e.g. do not attempt to fix any
  equipment yourself

In House Reprographics

• This is when reprographic work is carried out by
  the business itself
• Advantages
• It is likely to be less expensive
• Work is likely to be completed faster
• Disadvantages
• Not suitable for high quality documents or when
  many documents required e.g. sales brochure
• May not have variety of reprographic equipment

External Reprographics

• This is when reprographic work is carried out by
  an external agency
• Advantages
• Specialist staff and equipment will be available
• Documents will be high quality
• Large runs are far easier to complete
• Disadvantages
• Using an external agency is more expensive
• Also likely to take longer to produce work
