Timeline Review

• MSDE State IEP in Adobe Acrobat
• July 3, 2007
• SEDS taken off line
• January 1, 2008
• Encore use required
• If entire team is trained and principal
  approves, start using Encore immediately

Encore Operation

• Encore is web-based
• Can use Encore if
• User has internet access and login permission
• Do not use open ended wireless connections
  (Starbucks, Borders, etc.)
• Encore uses Adobe Reader or Acrobat
• Only for viewing and printing forms
• DOES NOT require full Acrobat
• Special Ed will no longer distribute Acrobat

Encore Form Rules

• Summer Field Test teachers found Encore very easy
  to use
• Whats new in Encore - Rules
• No rules in entering data in Adobe Acrobat
• Encore has many rules in IEP forms
• Date rules are strict to follow legal timelines
• While Encore has rules, for many places where
  text is entered, Encore does not check quality
  of data

Training Rules

• For today ONLY
• We will be doing many things on the same day
  which is not the normal sequence
• So for today, always use todays date anywhere
  in the Training Database where a date is
  required, even it doesnt make sense
• Note Encore may appear slow during training,
  this ONLY occurs in a training environment
  will respond more quickly at schools

Reminders

• All letters generated by Encore will need editing
• Multiple access
• Multiple staff may work on same student
• Multiple staff may not work on same page
• As Needed should NEVER be used in any part of
  the IEP

Completing IEP

• Enter data prior to meeting as draft
• Lock after meeting is complete
• Parent signatures
• If needed, print draft
• Parent signs placed in confidential folder
• In Encore enter parents name on signature line
  indicating signature is in file

Meeting Planning

• IEP Teams will need to be online during meeting
  to edit IEP in Encore
• Plan extra time for first Encore meetings
• Have ITSS check your Encore laptop to be sure can
  access network and Encore
• Use of LCD Projector is school decision
• Some parents and schools like, others did not
• Tip sheet to sharpen image available in Outlook

Meeting Preparation

• IEP Teams will need to be online during meeting
  to edit IEP in Encore
• Have printed copy of IEP at the meeting for
  reference and to use in case of any problems
• In unlikely event of power outage or network
  problems IEP Team meeting should still proceed

Problems?

• There is a learning curve problems?
• Dont panic, stop and think about process
• Some forms or fields may not appear until
  finishing other forms
• Check with other staff in your building
• Check the Encore Fix List in Outlook
• Call the help desk at 301-517-5800
• The help desk will contact the Encore Team
