3Introduction to CSV files and why we use them.
- Benefits !
- For users who have established systems that
already store the Head Neck data locally. - Reduction in the impact on data entry times.
- Once setup, data uploads are quick and simple to
perform. - Problems !
- Initial creation from local systems can be time
consuming. - CSV upload V direct data entry.
- Time taken to upload against the number of
records being uploaded - Issues when hospitals sharing patients use both
methods
4What is a CSV file ?
- Comma Separated Values (Variables) files are an
industry standard format for importing and
exporting data of variable length. - Bill,Smith,51,M,32,The Lanes,Plymouth

7Submitting and Contact Hospital Fields
- Every DAHNO CSV file has field 2 as the
submitting hospital and field 3 as the contact
hospital. - The submitting field must contain the same 5
digit hospital code as the ID of the person
uploading the data. - The contact field will be the 5 digit code of the
hospital providing the care to the patient, which
may differ to the submitting hospital code.
8DAHNO CSV Files
- The complete file definitions are defined in
Volume 3 of the data manuals. - A completed CSV file would look similar to the
example below - 1234567890,RK950,RK950,REC12345,Smith,Bill,PL1
1AA,1,01/01/1950,AB0101 - 3456789012,RK950 RK550,REC23456,Fearnley-Whittings

9Uploading CSV Files into DAHNO
To start the import wizard, click on this option.
10- Select file structure
- Select if you are using column headings
- Select the local folder of the CSV files
11All the correctly named files found in the local
folder will be ticked. If you leave multiple data
sets ticked the system will import them in the
correct order.
12Once started the system will show the percentage
imported for each data set. On completion of the
import whether successful or unsuccessful, the
system will create a log file.

14Sharing Data and Global Permissions
- Sharing data can be set up using a global
permission which allows two or more hospitals to
be linked so that all patients are seen in the
patient view. - Sharing data is possible between direct-direct,
CSV-CSV and CSV-direct. It is not currently
possible for direct-CSV - Hospitals should be responsible for their own
data uploads, so a hospital providing just
radiotherapy care should only have to upload one
record. However it is possible to upload
information on behalf of another hospital.
15Summary
- Although CSV files can take some time to setup,
once created they provide a quick and easy method
to bulk upload data from one system to another. - A certain level of knowledge of how CSV files are
constructed and uploaded into DAHNO is vital to
enable the user to interpret the import logs and
resolve any issues. - The new import engine and centralised logging
help in the upload process and in troubleshooting
any errors.
