Working with ReportNet
  • This presentation will walk the user through the
    process of running Managed Reports and the basic
    working of the Cubes.
  • To access Cognos, click Internet Explorer.
  • In the address box, type cognos.indstate.edu
  • The log in screen will then appear, enter your ID
    and password.

You may need to set up a trusted site on your
internet browser to view reports in different
formats.
To do this select tools and internet options.

Select the Security tab on the Internet Options.
Click on the Trusted Sites button, then click
on the box that says Sites.
1. You will need to click on the Security Tab.
2. Then click on Trusted sites. 3. Click on the
button that says Sites.

Make sure this box is not checked.
You will then need to type in http//cognos.indst
ate.edu, then click the Add button.
Make sure this box IS NOT CHECKED.
Then in the box under the Add this Web site to
the zone type http//cognos.indstate.edu, then
click the Add button. Click the OK button,
and then you will need to click OK again.

This will only need to be set up once. This
allows the reports to open up in various formats.

run the reports in various formats.

Click on the Academic Community folder in order
to access the Cubes and Managed Reports.

You may choose to run cubes or report by clicking
on the appropriate folder. In this example we
will be working with the Managed Reports.

On this page you can select the format of the
report and the type of delivery you want.

The drop down menu under format will allow you
to select different types of formats For your
report.
Once you have selected the options click the
RUN button. This will take you to the first
prompt of the report.

Select a term by clicking on it.
Once you have chosen a term, click next to
continue.

You will then need to select a College.
Select next to continue.

You then have to choose a Department. Please
notice on all selections, there is a Select All
option. Please also remember that you can choose
one or more departments. Click on your first
Department, hold the Ctrl key down and choose the
second Department. This will choose random
selections from the list.
Click on Next to continue with the report.

Choose a major for your report.
This is the last item you will choose for this
report, notice that there is not a Next button,
it is now Finish.
Your report will run and the results will pop up
on your screen.

If you chose excel as the format of your report
you will receive this message. At this point you
can choose to open your report or save it to your
computer.

If you chose Excel as the format of your report,
Cognos opens it with a separate window. You will
need to close this window to return to the
Operational Managed Reports. Once you save the
report to your desktop you may edit it as you
would any Excel report.
Once you return to the Operational Managed
Reports page you can change over to the cubes by
Clicking ACADEMIC COMMUNITY at the top of the
page. This will take you back to the page where
you can choose Operational Managed Reports or the
Cubes.

Operational Data Cubes are cubes that are updated
daily. They will only show one term back,
current term and any future terms that there are
registered students.
To choose the Official Data Cubes please click on
the folder.
Official Data Cubes are a snapshot of data taken
at the beginning and end of each semester. This
data will not change.
For the cube example, please click on Official
Data Cubes. The Official Data Cubes and the
Operational Data Cubes work the same way.

The Official data cubes have five cubes to choose
from. The EOS cubes are data at the end of the
semester and the OFF cubes are data as of the
beginning of the semester. For our sample we are
going to select the Official OFF Student Head
Count.
The Official Data cube folder has 5 different
cubes. The EOS cubes are official data at the
end of the semester. The OFF cubes are official
data at the beginning of the semester.

Wrapping should be on to see all options to
choose from.
The tool bar at the bottom has many
features. There is zero suppression(1) to exclude
rows that do not have information, a feature to
download the cube information into excel (2) or
to download the information into a graph(3).
There is also a button that will allow you to
start over with a fresh cube.(4)

To select an option from the top, click on that
option to get the drop down list point your
cursor at the information that you want and then
click on what you want to select. This will
place the information in the cube. Or you may
drag that information from the drop down box and
place it in the cube where you want it.

The option that you selected now shows up in bold
at the top of the screen.

If you choose an option, in this case gender, and
drag it down to the cube, you will see a small
selection highlighted, (see above) a small plus
sign will appear with the cursor, this means that
you will be adding that information in addition
to the information already being displayed.

This is now what the cube looks like.
You can also use the folders on the side to
select items to drag to the cube.

To replace information, select the information
you want to see from the top, then drag it over
the field that you want to replace (you will see
the area highlighted) then let go of your mouse.

This is what the cube would now look like. If
you use zero suppression, you will eliminate all
of the rows that contain only zero values.

This is the same cube, with the zero suppression
turned on.

The other type of cube is the Operational data
cube. The cubes represent information that is
refreshed early in the morning on a daily basis.
These cubes hold information that is current, one
term back and any future enrollments.

Operational Cubes work the same as Official cubes.
Operational data cubes work the same way that the
Official data cubes work.
Remember that the Cognos FAQ (Facts and Questions
is always available for your use.
