Title: Changes to Existing NARs
1Changes to Existing NARs
DAY 5 (Yes, were almost done!)
2Background
- New NARs must follow current practices for the
1XX heading and references (008/10 Descriptive
Rules, c AACR2) - Remember requirements for using and changing
AACR2-compatible headings (008/10 Descriptive
Rules d) (LCRI 22.1, 24.1
3Using Existing NARs with No Changes
- If the 1XX heading is AACR2, and no other changes
are needed, use the 1XX on a bibliographic record
and make no changes to the NAR - If the NAR needs changes, make changes and adjust
fixed field values (008) as necessary
4Typical Changes to NARs
- 1XX changes
- Conflict with another heading or reference on
another NAR that cant be resolved any other way - Existing heading incorrect (based on pre-AACR2 or
improper application of the rules typos tagging
and coding errors) - Name change (consider using w nne)
- Addition of death date to personal name with open
date - Author prefers a different form
5Typical Changes to NARs
- Tags other than 1XX
- To add variant form of name (4XX) or see also ref
(5XX), justified in 67X - To add new information in 670 field
- To change 4XX to resolve conflict
- To consolidate information when duplicates have
been identified
6Typical Changes to NARs
- Tags other than 1XX
- To add 053 for literary authors
- To add 043 or 781 for geographic places
- To add 667 notes
- Not same as
- Do not confuse with
- Formerly on undifferentiated name record
- SUBJECT USAGE
7Typical Changes to NARs
- Tags other than 1XX
- To adjust 008/32 Undifferentiated name status
(AACR2 22.20) - To change from a to b
- To change from b to a
8Typical Changes to NARs
- To change 008/33 Level of Establishment
- From c Provisional to a Full (cataloger now
has appropriate language for heading) - From d Preliminary to a Full (cataloger is
working from an item in hand)
9Authority Changes Adding a Variant Name
Before
After
10Mandatory NAR Change
- LCRI 26 Reference Evaluation
- If 008/29, Ref status b, the references have
not yet been evaluated - If making any change to one of these NARs, the
references must be evaluated - Reevaluate and adjust the references to conform
to AACR2 and LCRI practices
11First 410 not valid AACR2 reference
12Evaluate the Entire NAR
- If changing the NAR, upgrade all parts of the NAR
to AACR2 and current practices - LCRI 26 and LCRI 26.3B-C guide the evaluation of
references - References from pre-AACR2 headings are not
necessary but can be left if found
13Checklist for Evaluating Headings/References
- Reformulate references to AACR2 form
- Adjust 008/29 Reference Evaluation from b to
- a tracings (i.e., references) are consistent
with the heading - or
- n no references
14Checklist for Evaluating Headings/References
- Search headings and references for conflicts and
resolve them - On corporate names, make certain that qualifiers
are established as needed
15Checklist for Evaluating Headings/References
- On corporate names, check hierarchies and
parent/subordinate parts establish NARs as needed
16Checklist for Evaluating Headings/References
- Justify references with 670/675 citations
17Duplicate Headings General Rules
- Only one NAR for each entity
- EXCEPTIONS
- earlier/later corporate and geographic name
combinations - pseudonymous personal names
18Duplicate Headings Deciding Which NAR to Keep
- If NARs have different 1XX, keep the better and
properly formulated 1XX - If NARs have same 1XX, keep the NAR with more
complete references and 670s
19Dont Agonize!
- The file is dynamic any cataloger with more
information may improve the NAR in the future - Be confident! Youre the expert, with the item in
hand
20Consolidating Data
- NAR to be deleted may have valuable data that is
not present on the record to be kept (670 b may
have persons birth date, location of corporate
body, etc.) - Transfer valuable data to NAR that will be kept
- Transferred data should add new or important
information to the NAR
21Search for Related NARs
- Remember that any NAR with a 1XX change may be
related to other NARs - Change all affected NARs and submit for review or
replace in the database - name-title uniform titles
- parent-subordinate body NARs
- personal name series
22Guidelines for ReportingDuplicates and BFM
- Reports from OCLC make some duplicate and BFM
reports unnecessary - NACO institutions may continue to report all
duplicates and BFM if that simplifies the task - Key document with guidelines
- http//www.loc.gov/catdir/pcc/naco/bfmguide.html
23GuidelinesNon-Reportable Duplicates
- If the 1XX is the same on duplicate NARs for the
same entity, no bibliographic records are
affected - NACO catalogers transfer data as needed, but need
not report - OCLC error reports prompt LC liaison to delete
the duplicate NAR
24 Guidelines Reportable Duplicates
- If duplicate NARs have different 1XX forms for
the same entity, BFM may be necessary - NACO catalogers fix NARs, report the duplicate
and the BFM to their LC liaison as needed - LC liaison deletes duplicates and does BFM only
if NACO catalogers report
25Your Duplicate/BFM Message
- Identify which NAR to keep and which to delete
and email that information to your LC liaison - Include both the LCCNs and the 1XX of the NARs
- Include the LCCNs for the bibliographic records
as well
26Who Handles Duplicate/BFM Reports?
- Duplicate NAR deletion and BFM of bibliographic
records must be done at LC for proper
redistribution of the records - Your LC liaison will handle the file maintenance
personally, forwarding within LC as appropriate
27Who Handles Duplicate/BFM Reports?
- If your NACO reviewer is an LC cataloger,
duplicates and BFM can be handled directly by the
reviewer - If your NACO reviewer is at another institution,
you must report duplicates and BFM to your LC
Liaison
28Thank you!
- Cooperation by all partners improves the
authority and bibliographic databases!
