- New Manuals
- Both the DDOT and STC manuals have been
combined to create one Test Implementation
Manual, (TIM) - The sections of this manual have been organized
in order of the testing procedures. Reminders
and action steps are marked accordingly. - A Resource Manual has also been created which
includes information for use before, during, and
after student testing. You may download

- Student Assessment Records
- Pearson Educational Measurement (PEMSolutions)
is the new system for administering all SOL
tests. (eMeasurement is no longer available). - PEM is now linked with EIMS, students MUST be
included in EIMS in order to be tested. - All eligible students are pre-loaded into PEM
from EIMS and may appear in testing
administrations. This does NOT mean that they
will all be tested.

- 1. Registered for a test administration
- 2. Assigned to a test within that administration
- This is accomplished by either
- A. Student Data Upload
- B. Manual entering into EIMS

- Requires the following fields of information

- Administration -Last Name
- Division Code -First Name
- School Code -Grade
- STI -Gender
- DOB -Group Name (Teacher)

Student Assessment Records
- Correcting Student Data Information
- For the Fall Writing administration, all new
students, (after 10-9-06), corrections to the
student data information, either demographic or
test specific must be sent to the DDOT. - You will be able to access reports immediately
in PEMSolutions after the answer documents are
scanned and indicate what corrections are
required.

- Answer Document
- All writing papers must be done in 2 pencil.
- Beginning with Fall 2007, all writing samples
will be returned to schools on a CD. No paper
samples will be returned.

Test Booklet Inventory -We are responsible only
for the inventory of the test booklets that we
use. Do not open packages to count booklets
unless they are going to be used for testing.

12Testing procedures for Term Graduates
- REMEMBER!
- If a student is taking this test for the very
first time, then they are considered first time
testers. The first attempt is considered a
regular test administration. These will not be
coded as retest. - If they are taking the test over again for
verified credit, then they must be coded RETEST
on the answer document. - The Second Opportunity test must be coded as
RETEST for everyone that takes it twice.

- If students answer documents are submitted WITH
a Pre-ID label, then fields B - E should NOT be
completed. - If there is NOT a label, then fields B - E MUST
be completed. - It is possible that you may receive a label for
a new student, not included in the SDU after that
student has tested, but prior to shipping. These
labels can be applied at any time. - If information has changed, the label can still
be used as long as PEM has been updated.
15Answer Document Procedures
- Field A MUST be completed whether there is a
Pre-ID label or not. All the information in
field A must be filled in. - The Student Name box on page 3, 5 and the back
page must be completed. - Fields F and G on the back page MUST be
completed and carefully checked to insure that
the Form Numbers match the form that the student
completed. - Field H, Testing Status, is only to be
completed in the event that a student was not
tested. Numbers 10 and 11 are only used with
direction from the VDOE.
16Answer Document Procedures
- Field I is used to indicate what accommodations
were provided for a student on the writing test. - Accommodations must be specified in the IEP/504
plan and the student MUST have an identified
disability. This will appear on the label and
will be identified in the PEMSolutions site. - Letter A is not used, letter B is used for any
accommodation not listed on the accommodation
chart in appendix D. VDOE approval is required
for any accommodation not listed.

- If a label is not available for a students
answer documents, sections B E must be
completed - Section B, Student name, complete and bubble
- Section C, Date of birth, must be completed
- Section D, STI number, students 10 digit state
testing identifier. This is NOT the CPS
identification number. If the STI is not
available, you must contact the DDOT and complete
the new student form.

- No testing information shall be discussed between
students and or staff. - SOL staff should not communicate to other staff
information that is on a SOL test. - Changing sites, SOL staff must transport the
test materials and students must not talk to each
other.

- Remove all teaching aids from desktops, walls,
or hallways - All SOL staff to read and sign security
document. - Materials checked out daily, use transmittal
form. - complete School Testing Affidavit.
- No test items are to be copied in any fashion.
- No test items may be discussed by faculty or
staff.

Irregularities An irregularity can occur
when -Student becomes ill -Student
cheats -Improper assistance given -Accommodation
not met -Wrong accommodation given -Disruption
occurs -Test book missing -Test marked
complete STCs must complete the Irregularity
Form included in your packet. Fax the completed
form to Jack Hannon, 436-7736. DO NOT send it to
the DOE, we will do that. DO NOT take any action
until you receive instructions from our office.

Irregularities Continued, -NOTE If a child
REFUSES an accommodation, this may not be an
irregularity. Contact the parent and have them
submit, in writing either a request to re-test,
or to count the first test without the
accommodation. -If parent requests a re-test,
then an irregularity has occurred and it must be
submitted.

- Test Irregularities / Security Violations
Examples of security violations that create an
irregularity. - Tell a student to check an answer that you know
is incorrect. - Look ahead in the test book and review material
from the test. - Use any form of body language to influence a
students response. - Allow students to leave the room un-escorted.
- Dismiss a class in the middle of testing to go
to lunch.

- Test Irregularities / Security Violations More
security issues. - Fail to remove teaching aids from an area where
testing is occurring or hallways that may be used
to change sites. - Discuss with another teacher information that is
on a test - Leave the room during a test session without
another examiner there to relieve you. - Neglect to provide accommodations to a student
that has been found to need them. - Provide an accommodation to a student who is not
eligible. - Provide the wrong accommodation.
25Any SOL staff member who observes a violation of
test security must report that violation to the
DDOT at the earliest possible time. All security
violations that appear to be willful will be
investigated and reported to the VDOE.

27Returning Test Materials to the DDOT
- Divide all materials into two sets, Set A and
Set B. - Set A will include the following
- EOC Set A Check off sheet. (Box 1)
- Answer documents, bundled under class Header
sheets. Please no more than one class per
bundle, (30-35). - Term grads can be bundled separately or with a
specific group. - Use the new Pearson bands, the information on the
bands is optional, may be helpful to you for
managing the materials.

- Set B will include the following
- 1. Set B check off sheet
- 2. All used and unused test booklets and writing
prompts. Please bundle these in packs of TEN.
Used and unused books may be bundled together.
Used and unused prompts may also be combined. NO
STAPLES !!!! - NOTE Do not include books from any large print
or regular audio kits. They are to be packaged
with the kits and sent separately. -
