- To provide the unit EO Representatives with the
tools to accomplish these tasks.
5Maintaining EO Files
- The Modern Army Recordkeeping System
(MARKS)
6MARKS
- The purpose of Army recordkeeping is to properly
manage information, from its creation through
final destination. - MARKS provides life cycle management instructions
for the systemic identification, maintenance,
storage, retirement, and destruction of Army
information recorded on any medium (paper,
microforms, electronic, or any other).
7MARKS
- MARKS does not apply to-
- Publications and blank forms stocked for filling
requisitions - Reference materials and books in formally
organized and officially designated libraries. - Reproduction materials, such as stencils and
multilith masters.

10List of File Numbers
- Office personnel prepare lists of file numbers
for the convenience of files personnel and action
officers. - These list will contain the MARKS file number,
description, the Privacy Act systems notice from
DA Pam 25-51, and media identification (paper,
tape, electronic, microform).

12List of File Numbers
- Office personnel will keep the lists current by
making changes as file numbers are added or
deleted. IMS will review each list or change and
approve the implementation of those that
accurately identify the records of the office
concerned.
13MARKS File Numbers
- Equal Opportunity Representatives should ensure
that the correct MARKS file number is used. - New file numbers initiated or file numbers that
are changed at the unit level, must be approved
(written approval) by the unit Information
Officer/Publications Officer.

15Maintaining EO References
- In order to provide the unit commander and unit
members with information and training that is
current and reflects todays policies, EORs must
ensure that the references used are current.
16Reference Materials May Consist of
- Delaware Army National Guard Regulations (DEARNG
Reg) - Policy Letters (from Adjutant General, Battalion
Commander and Unit Commander) - National Guard Regulations (NGR), National Guard
Bureau Pamphlets (NG Pam) - Army Regulations (AR), Department of the Army
Pamphlets (DA Pam), etc.
17Updating DEARNG Publications
- Current Commanders Policy letters should be on
file in the units administrative office (see
your unit clerk or Readiness NCO). - DEARNG Policy letters are available on the DEARNG
intranet at http//de-10086-int/ and should be
on file in the units administrative office.

add to pinpoint distribution

- Instruction on ordering procedures to be followed
- Forms to be used to order publications

20Updating Army National Guard Publications
- NG Pam 25-30, Index of NG Administrative
Publications, is used to review NGR and NGB Pams,
published semi-annually. - A copy of NG Pam 25-30 should be available in the
unit admin office library. - To order NG Pam 25-30 you must send a request to
the unit Publications Officer/NCO.

Published semi-annually. - A copy of NG Pam 25-32 should be available in the
unit admin office library. - NG Pam 25-32/ANGIND 9, may be downloaded from the
NGB Publications site at http//www.ngbpdc.ngb.a

22Army Regulations DA Pams
- DA Pam 25-30, Index of Blank Forms and
Publications is used to review all Army and
Department of the Army Publications for currency.
DA Pam 25-30 is published quarterly, and is only
available in Compact Disc format. DA Pam 25-30
is the first disc of EM0001.

- The unit admin office should have a copy of EM
0001, and should be able to assist with its use. - To order EM 0001 you must send a request to the
unit Publications Officer/NCO. Request that an
additional copy be added to the DA Form 12, for
use by unit EORs.
