17Present Data Simply
- The more complex the data you need to present,
the more you should plan ways to present that
data so that your audience can comprehend it at a
glance. While long tables of data are OK for
printed reports, they are not effective on
slides. A slide is not big enough, and the
audience doesn't have enough time to read through
lots of numbers. You may need to present less
data, but you may also be able to find a way to
format the data more simply.

- Action buttons can be inserted on the beginning
slide of a video to act as triggers for starting,
pausing, and stopping the video. These replace
the mouse clicks normally used to start, pause,
and stop it.

- Hyperlinks only work during a slide show. You
can create a link to the Internet, to intranet
Web pages, to pages on your own computer, or to
other files, such as spreadsheets or Word

33Consider the Audience
- You should consider your audience when developing
the content and tone of your presentation. For
example, a presentation for the engineering
department of a company should be different than
a presentation for the sales department.
34Organize the Text
- Use uppercase and lowercase text, not ALL
UPPERCASE. - Ensure the punctuation is consistent on all
slides. - Discuss only one concept per slide.
- Include only main ideas on each slide.
- Do not include more than six points on a slide.
- Each point or slide title should be no more than
two lines long. - Spell check your presentation.
35Choose Colors and Fonts
- Choose colors and fonts that match the mood of
your presentation. For example, use bright
colors to convey good news. - Choose colors and fonts that make your text easy
to read. - Avoid using more than five colors per slide.
- Avoid using more than three fonts per slide.
36Add Visuals
- Add visuals, such as pictures, charts, diagrams,
tables, or movies, to your slides. Visuals can
help enhance your presentation, but you should
try to avoid cluttering your slides with visuals
that have no purpose.

- Make sure you rehearse your presentation before
you deliver it in front of an audience. This
will help your presentation flow smoothly and can
help ensure that you will complete the
presentation in the time provided. If possible,
practice your presentation in front of a friend
or colleague.
38Check the Hardware
- Before you deliver your presentation, check all
the hardware you plan to use. Make sure you know
how to operate the hardware and you have all the
parts you need, such as spare bulbs or an
extension cord. In case of a hardware failure,
you should always have a paper copy of your
presentation with you.
39Check the Presentation Room
- You should check the room you will be
presenting in before the presentation. Make sure
the audience will be able to read the slides from
all areas of the room. If necessary, determine
the location of electrical outlets and light
switches.
40Check Your Body Language
- When delivering a presentation, your posture
should convey a relaxed and confident manner.
Make eye contact with your audience while
presenting and avoid hiding or clasping your
hands.
