How Does It Work?
  • Put your purchase order on a spreadsheet
  • E-mail the spreadsheet to us as an attachment
  • We receive and process your order
  • We update your spreadsheet with our order info,
  • highlight any errors and e-mail it back to you

Customer Requirements
  • You must create an Excel spreadsheet
  • Output from your software
  • File download into an Excel format
  • Use any spreadsheet program that can output .xls
    files
  • You must have an e-mail address
  • Attachment capability
  • You should have a naming strategy
  • Consistent but unique

Excel Spreadsheet
  • We suggest that you use your PO Number (12345 for
    example) to name the spreadsheet (12345.xls).
    We also suggest that you consider using the PO
    Number as the Subject Line on your e-mail.

  • Ordering Part Number
  • Quantity Ordered
  • Your Ship-To Code - it must be consistent (can be
    blank if you only have one location)
  • Carrier (leave blank to use your regular carrier)

E-Mailing Your Order
  • Use your PO Number as the Subject Line on your
    e-mail
  • Attach the spreadsheet (12345.xls) to the e-mail
  • Additional text can also be sent in the body of
    the e-mail. Try to keep it to a minimum -
    Special Instructions, etc. (could delay your
    order)
  • Develop a strategy for storing your e-mails (and
    spreadsheets) in a way that allows you to easily
    retrieve and view them later if needed
  • Provide us with a single e-mail address for
    correspondence

Processing Your Order
  • We will send you an e-mail reply immediately so
    that you know that we have your order and will be
    processing it
  • We will then extract the rows from your
    spreadsheet and create an order in our system
  • Any e-mail text will also be extracted and added
    to the order as comments

Confirming Your Order
  • We will create a new spreadsheet by merging your
    PO info with our order info (by adding more
    columns at the end) and then sending it back to
    you. This is your order confirmation.
  • This new spreadsheet will be named 12345CONF.xls
  • Any lines that have errors will be returned to
    you on a separate spreadsheet named 12345ERR.xls
  • Each spreadsheet will be returned to you on a
    separate e-mail.

  • Line Number
  • Shippable Quantity
  • Backordered Quantity
  • Price
  • Running Total
  • The subject line of the e-mail will be
  • 12345 - Carlisle Order Confirmation
  • Note If there were any errors on your order,
    your confirming e-mail will tell you that
    errors occurred and a separate error e-mail and
    spreadsheet will be sent.

Error Spreadsheet
  • Name will have ERR on the end - 12345ERR.xls
  • Only one column will be added to your spreadsheet
    - Error Reason.
  • Cell(s) in error will be highlighted in RED.

  • Only one Ship-to allowed per PO
  • The subject line of the e-mail will be
  • 12345 - Carlisle Order Errors

  • Q. Can I have more than one purchase order on
    a single spreadsheet?
  • A. Yes, but we will create a separate order
    for each PO. You will see them listed on your
    confirming spreadsheet. The running total will
    reset for each PO.

  • Q. Can I have more than one spreadsheet on a
    single e-mail?
  • A. No, we would only process the first one.
    The others would be lost.

  • Q. What do I do with the Error Spreadsheet -
    12345ERR.xls?
  • A. You may fix the errors and send it back to
    us. We will attempt to add it to the same order
    if possible. If unable to do so, we will create a
    new order. The name of the confirming
    spreadsheet will then be 12345ERRCONF.xls. You
    may also send the rejected item(s) back on a new
    PO if you wish.
  • WARNING - Do not resend the original PO if any
    lines were confirmed, they will be duplicated!

  • Q. What if I get confirmation of an order that
    I did not place?
  • A. Call your customer service representative
    IMMEDIATELY. Someone could be trying to spoof
    your e-mail address. (pretending to be you)

  • Q. When I create my spreadsheet, should I go
    ahead and allow for the additional columns that
    you add when confirming my order?
  • A. No. We will look for the next unused
    column and begin inserting there. We will always
    insert at the end and not change any columns that
    you create.

  • Q. Will I always get a Confirming e-mail?
  • A. No. If all lines were in error, you will
    only get an Error e-mail. Conversely, if there
    were no errors detected, you will not get an
    Error e-mail - only a Confirmation.

  • Q. What if I choose to use something other than
    the PO Number to name my spreadsheet?
  • A. You may use anything you want to name your
    spreadsheet and e-mail subject lines. We will
    append CONF and ERR to the end to denote
    confirmation and/or errors. We suggest the PO
    Number for simplicity only.

    placing my order, what should I do?
  • A. If you have not received a response after 4
    hours, please call your customer service
    representative. They will verify and/or check on
    the order in Carlisles system.
