Fiscal Year Closeout Lessons Learned

• Thank you for your responsiveness during
  closeout it helped us tremendously. However, the
  following things will improve next years fy
  close out
• Always log your credit card orders.
• Intramall log non-mall orders immediately
• ADB use a paper log
• Be sure to approve your charges once youve
  reconciled them in the Intramall
• Let us know if you have pending CREDITS or
  DISPUTES
• Keep up with your vouchers (due 5 days
  after return)

Save The Taxpayer Some Money!

• Use E-Tickets Whenever Possible
• Continental, Delta and American Airlines are
  charging a 20 fee for a paper ticket for
• Tickets that could have been processed as
  E-Tickets
• Tickets issued In the United States and Canada.
• Weve been told that many other Carriers are
  going to phase-out the use of paper tickets soon.
• When using E-Tickets, be sure to give your
  travelers a copy of their itinerary with the
  E-ticket information.

• Citing the fy02 CAN during fy03
• You will cite the fy02 CAN for those purchases
  youve pre-obligated funds for
• In the Intramall, if you wish to cite fiscal year
  02, you must enter an ORDER DATE prior to Oct 1,
  2002. The Intramall will then automatically cite
  the fy02 CAN for that purchase. (note if you
  logged it when you placed the order, youll
  always cite the right fiscal year!)
• In the ADB, simply use 2 as the prefix.

• After citing the fy02 CAN, you should track your
  remaining pre-obligations
• Go into the ADB option 12 and check your
  Obligation Balance
• Your outstanding orders must not exceed this
  balance.
