Responsibilities
  • Ensuring the safety of your brothers/sisters and
    guests
  • Following party procedures
  • Making sure your facility is safe
  • Seeing that your chapter abides by your chapters
    insurance policy
  • Watching out for your new members
  • Panhellenic and IFC have a zero tolerance policy
    for hazingits the risk manager and new member
    educators job to ensure the new members
    safety!!!
  • At socials, its important to watch out for
    younger members/actives or guest who may find
    themselves in trouble with alcohol.
  • Staying sober at social events-minimizes problems
    should law enforcement officers become involved,
    controls over-consumption, ensures situations
    dont get out of hand

Co-sponsorship
  • Alcohol Resolution 2000
  • Sorority Chapters may not co-sponsor any event
    at a fraternity facility where alcohol is
    present.
  • Ways to establish co-sponsorship include, but are
    not limited to
  • contributing money to an event
  • advertising an event with a chapters letters or
    name affiliated with it (t-shirt, booklet, etc.)
  • sending e-mails promoting an event via a list
    server, flyer, etc
  • talking about an event at a chapter meeting

Greek Week Humo
  • Greek Week Humo Pairing Events ARE considered
    co-sponsored events (cast parties, pomping, etc.)
    and ALL chapters in the pairing are held
    responsible for any and all violations.
  • Fraternities are expected to follow sorority
    policies, or the strictest chapters policy.
  • This means NO ALCOHOL, unless at a 3rd Party
    Vendor.

The perception of co-sponsorship
  • Perception can play a large role in defining
    co-sponsorship as well. How an event appears
    from an outsider looking in contributes to what
    constitutes a co-sponsored event. In a court
    case, this gray area is NOT a loop hole. If it
    looks like a fraternity/sorority event to a jury,
    they WILL hold the chapter/national office
    accountable.
  • By the IFC Constitution, a party is defined as
    any event endorsed or sponsored by a fraternity
    or sorority where more than 20 participants are
    not members of the host organization.
  • An invite party shall include any party in which
    non-members are individually invited and who
    appear on a typed guest list at the entrance.
    This guest list is to remain at the entrance for
    the duration of the party and is to be the
    document determining admission by party monitors.
  • All events require a social contract, as well as
    a few other things

  • ALWAYS due on the Wednesday prior to the event
    by 5 p.m. This never changes. Your chapters
    will be fined twenty-five dollars per day they
    are late.
  • No contract in at the time of the event200 fine
    J-board referral
  • Each chapter participating in an event is
    required to submit a social contract.
  • First contracts due this Wednesday, September
    20th, 5 pm
  • Halloween contracts and guest lists are due
    October 11th, 5 pm
  • Third party vendor
  • This could include a hotel or restaurant but NOT
    a bar, check the vendors license! At least 51
    of their sales must come from food sales.
  • Guest Lists
  • All social events require a guest list. No social
    function is to be considered an open event.
  • The guest list must be typed ahead of time and
    names are NOT to be added at the site of the
    event.
  • Non-salty foods and non-alcoholic beverages must
  • be available in plain sight.

  • Parties end at 2 a.m.- no exceptions
  • Be sure to have sober monitors around for the
    entire night including one at the door and behind
    the bar (for fraternities)
  • Be sure to have sober monitors, in addition to
    yourself, and a sober bartender
  • Do not only use pledges/new members as sober
    monitors
  • 1 sober monitor per 50 people-however a minimum
    of 3 sober monitors at any event
  • Sober Monitor duties include (but are not limited
    to)
  • Monitor potential overcrowding of the party at
    the door in compliance with the city fire
    ordinance.
  • Stop those leaving a party from taking any
    visible alcoholic beverages with them. If people
    are outside, fences should enclose the party.
  • No alcohol will be served after 200am.
  • Monitors from all participating organizations
    will be available throughout the party to escort
    guests home.
  • Watching out for guest and members
    over-consumption of alcohol, underage drinking
    and safety needs.

  • Have your paperwork filed prior to the event
  • Emergency contact/medical information for all
    chapter members
  • Social Contract
  • 3rd party vendor contract/check vendor
    licenses/contract with Security Company
  • Note Get what you expect out of 3rd Party

  • Carry all necessary numbers with you at all
    events and keep them clearly posted (i.e.-
    police, detox, cabs, etc)
  • Keep party themes and décor appropriate

  • No pre-mixed drinks if youre allowed to have
    hard alcohol
  • 21 means 21 period. No serving underagers
  • The bar should be an enclosed space with 3 sides,
    alcohol can only be stored behind the bar
  • Alcohol is NOT for sale, except _at_ a 3rd party
    vendor, nor is charging admission to a party
    acceptable
  • Chapter funds can NEVER go towards purchasing
    alcohol
  • NO drinking games
  • NO alcohol should be present at ANY new member
    activities

  • One main door for entrance exit in fraternity
    houses, all other exits should be emergency exits
    only
  • Occupancy should NEVER exceed room capacity (99
    people for most chapters )
  • Any party over 200 people or involving two
    chapters must have professional security.
    Security is NOT a substitute for sober monitors.
  • You must allow IFC/Panhel to enter immediately
  • Cooperate with law enforcement

Admission into a party
  • ID identifying legal age
  • ID identifying UW-student status
  • If not a UW-student, identified on guest list as
    out-of-town guest.
  • Method of identifying labeling legal age at
    MAIN entrance, wristbanding or a unique hand
    stamp
  • MUST BE ON THE GUEST LIST
  • At least one monitor from each participating
    organization will be present at the entrance
    throughout the duration of the party.
  • Serving to minors (under 18)FELONY

FIPG states
  • The possession sale, use or consumption of
    ALCOHOLIC BEVERAGES, while on chapter premises or
    during a fraternity event, any situation
    sponsored or endorsed by the chapter, or in any
    event an observer would associate with a
    fraternity, must be in compliance with ANY and
    ALL applicable laws of the state, province,
    county, city and institution of higher education,
    and MUST comply with either BYOB or Third Party
    Vendor Guidelines.

BYOB
  • Each person brings their OWN alcohol. Chapters
    are PROHIBITED from providing or serving alcohol
    to guests.
  • Options are available to hold or store guests
    beverages during the event.
  • Guests and members can only bring in 6 beers or 4
    wine coolers, per person.
  • NO Hard Alcohol

Distribution
  • No bottles may leave the bar area
  • No glass may leave the bar area
  • All beer cans MUST be opened in front of the
    guest
  • All drinks MUST be mixed in front of the guest,
    NO pre-mixed drinks
  • NO SHOTS
  • All bartenders MUST be sober!!!

  • Failure to comply with or recognize any of the
    following stipulations can result in your chapter
    being brought before the Judicial Board and
    leaving your Chapter members vulnerable in a
    Court action.

Philanthropies
  • Money can NOT be exchanged when alcohol is
    served- go to a third party vendor
  • Alcohol cannot be present at ANY co-sponsored
    philanthropy at a fraternity house
  • Even though you are not the Philanthropy Chair
    this will apply to your chapters and it is your
    responsibility to make them aware of it

1 Reason Chapters/Greek Communities Close
  • OVER CONSUMPTION!!!
  • Ways to avoid bad things from happening to your
  • chapter, your members or your guest
  • 1. Dont over serveBe aware of peoples limits.
  • 2. Encourage members not to drink prior to
    events. Your chapter can be held liable for
    people who show up intoxicated to an event.
  • 3. Dont give alcohol as gifts to new members or
    have missions involving alcohol.
  • 4. If someone has had too much to drink and you
    even slightly suspect alcohol poisoning take them
    to the hospital. Only a trained professional can
    make that call.
  • 5. If things get out of control, shut a party
    down or call the police.

Signs of Alcohol Poisoning
  • Person is unconscious or semi-conscious and
    cannot be awakened.
  • Cold, clammy, pale or bluish skin
  • Slow or irregular breathing
  • Vomiting while sleeping or passed out, and not
    waking after vomiting.
  • There may be other signs as well, when it doubt
    get medical help!

Other behaviors that can put your chapter at risk
(individual/chapter behaviors)
  • Pranks
  • Defacing property
  • Stealingfelony charges
  • Fights
  • Sexual Assault
  • Hazing
  • Disorderly conduct (i.e. public urination)

Personal Safety
  • Avoid walking alone at night
  • Groups of 3 or more
  • Avoid using routes that are
  • Isolated
  • Have limited communication opportunities
  • Have limited escape routes
  • DO NOT USE BACK ALLEYS BY YOURSELF EVER!!!
  • Turn that iPod down or use only one earbud
  • Cellphones are not force fields (even the cool
    ones with MP3 players)
  • Install exterior lights to spook the bad guys
  • We are all here for one another. Help a brother
    (or sister) out, man.
  • Dont make yourself an easy target
  • Situational awareness
  • Call the police whenever you are in doubt

Tough Times
  • Chapter President and Risk Mgmt. are also the
    go-to people in times of a death, tragedy, or
    Court action
  • Know your chapters crisis plan (if you dont
    have one, make one).
  • The president is in charge, he/she should be the
    only one speaking for the chapter
  • Always close down the chapter until a plan of
    action has been determined.
  • Notify the University/National Office
    immediately!!!
