1INSTRUCTIONS FOR PIs
- TO APPROVE AN ORDER
- 1. You will receive an e-mail from HBC Orders
stating that you have an order pending. Click on
the link in the e-mail. - 2. Enter your Username and Password. To set
these up, contact Kate Schlickman at x4-8184. - All orders that havent yet been approved will
appear on your screen. Highlight the order you
would like to view and click Details. - See next 2 slides.
2Note the estimated total here.
Verify that the Account to Charge is correct.
If it is blank, please fill it.
After making any changes click the Save Changes
button.

Reports
Check the box(es) of the satisfactory order(s)
and click Approve.
You can also cancel orders the same way.
4- TO LOG IN WITHOUT THE E-MAIL LINK
- 1. Go to www.hbc.ku.edu.
- 2. Click on Grant Services.
- 3. Click on Online Ordering for HBC
Administered Grants. - 4. Click on On-Line Order for Research
Directors Only. - Enter your Username and Password as usual.
- TO CREATE AN ORDER
- Click on Create New Purchase Order.
- See next slide.
5- Choose vendor from the drop down list. If the
name is not in the list, enter the information
into the Other Vendor field. We will add the
vendors name in the database and it will be in
the drop down menu for subsequent orders. - Indicate if the material is radioactive or not.
- Enter quantity, unit size (each, box, pack, etc),
description, catalog number, and UNIT PRICE (not
the total price if more than one is ordered). - Enter the grant number to be charged for each
line item. You can order items to be charged to
several different grants. - The sub field is only to be filled for grants
with multiple PIs. It lets HBC know which PIs
funds are being spent. - Select shipping method.
- The delivery address information is all required.
The e-mail address entered is where the order
confirmation will be sent. Multiple addresses
can be entered if separated by a comma. - You may enter remarks for HBC or your PI to see,
such as a quote . If a quote affects only one
item it can be entered in the description field. - Select the name of the research director from the
drop down menu. - Once youre done, click the submit button. This
will send an e-mail to the research director you
selected.

6TO SEE DETAILS OF ALL ORDERS 1. Click on the
Reports tab on the black bar at the top
left. 2. Select Orders List and click Make
Report 3. See next 2 slides.
7Filter by dates if you like (must enter both).
Select your PI from the drop-down menu.
You can also filter by your name.
8Click on this green tab to view the order details.
Based on your filter, all available orders will
appear.
9- TO MODIFY YOUR USER INFORMATION1. Click on My
Info on the black bar in the top right corner - See next slide.
- 3. Dont forget to logout in the top right hand
corner!

1. Enter your new password and then confirm it.
2. Click Save when you are finished.
3. To go to a new screen when you are finished,
click one of these tabs.
