3The Mission of Our Club
This mission of a Toastmasters club is to
provide a mutually supportive and positive
learning environment in which every individual
member has the opportunity to develop oral
communication and leadership skills, which in
turn foster self-confidence and personal growth.

- How many club officers attended training
- Was the club roster turned in on time
- Were the club dues paid on time

10Mock Toastmaster Meeting
11Before the Meeting
- Toastmaster picks theme, contacts members
assigned to key roles and confirms their
attendance, creates prints several copies of
agenda - General Evaluator contacts members of his or her
evaluation team - Speakers inform Timer of length of speech
- Evaluators contact Speakers to obtain manuals and
understand evaluation criteria - Sergeant at Arms secures meeting room location
time, set ups resources so that the meeting can
start on time - Members with key roles arrive a few minutes early
to collect manuals, forms, equipment needed for
perform their task - Club Officers members talk to guests to promote
a friendly and welcoming environment - All members and guests should sign into the
attendance sheet to receive training club
credit - President starts meeting
12During the Meeting Intro/Toastmaster
- The President leads the pledge of allegiance or
invocation, announces guests and, hands meeting
off to the Toastmaster - The Toastmaster is the captain of the meeting
provides background information on the theme,
keeps meeting on schedule and provides smooth
transitions between segments - The Toastmaster then introduces members with key
roles. - Members should briefly state what their role
entails for new members or guests
13During the Meeting Speeches
- The Toastmaster gives an introduction of the
speakers speech as a smooth transition - Speaker needs to provide the toastmaster with the
intro/speech background information at least a
day in advance - Speaker gives speech to the best of their ability
and attempts to stay with in the time limit - Grammarian makes note of ahs, ums, word of the
day as a form of positive feedback - Members provide positive feedback to the speaker
on how to improve their skills - The Toastmaster asks the Timer if speeches are
with in the time limit, the Timer responds with
Yes or No. - If at least 2 speakers stay with in time limits,
members can cast their ballot for best speaker.
Otherwise no voting for best speaker occurs.
14During the Meeting Table Topics
- The Toastmaster provides transition into the
table topics session - Table Topics Master has control over this section
of the meeting - Molds questions around the Toastmasters theme
- Table Topics Master selects members to speak
impromptu for 1-2 minutes. Prefer to select
members with non-speaking roles to participate or
asks for volunteers - Participants begin speaking by stating Thank you
Mister / Madam Table Topics Master - Grammarian makes note of ahs, ums, word of the
day as a form of positive feedback - Table Topics Master refers to the Toastmaster to
see if meeting is still on schedule
15During the Meeting Table Topics

- When completed, the Table Topics Master returns
the meeting to the Toastmaster - The Toastmaster asks the Timer if the table
topics participants are with in the time limit,
the Timer responds with Yes or No. If No,
indicates which participants are not eligible for
voting. - If at least 2 table topic participants stay with
in time limits, members can cast their ballot for
the best table topic participant. Otherwise, no
voting occurs.
16During the Meeting Evaluations
- The Toastmaster provides transition into the
evaluation section and hands the meeting off to
the General Evaluator - The General Evaluator has control over this
section of the meeting - The GE should have contacted his/her evaluation
team prior to meeting to make sure all bases are
covered - The General Evaluator introduces his evaluation
team and transitions to the first evaluation then
second evaluation - Evaluators do their best to provide positive but
not patronizing feedback in their allocated time
period
17During the Meeting Evaluations

- The General Evaluator asks the Timer if the
evaluators are with in their time limit. The
Timer responds with Yes or No. If No,
indicates which participant(s) are not eligible
for voting. - If at least 2 evaluation participants stay with
in time limits, members can cast their ballot for
the best table topic participant. Otherwise, no
voting occurs. - The General Evaluator asks for the Grammarian
report and then the full Timekeepers report. - The General Evaluator wraps up his or her portion
of the meeting by giving their evaluation of the
meeting, reflecting on all actions that occurred
during the meeting. - The General Evaluator returns the meeting to the
Toastmaster.
18During the Meeting Closing
- The Toastmaster presents awards if any voting has
been conducted. - The Toastmaster provides final comments/thoughts
and returns the meeting to the Club President. - The Club President asks for guest feedback if
there are any guests. If there are guests, first
time guests receive a first time ribbon. - The Club President announces any club business
and/or open the floor for questions, then
concludes the meeting.
19After the Meeting
- The Clubs board members are available to answer
any questions. - The Vice President of Education is available to
sign members manuals indicating the completion of
a project. - The Sergeant at Arms returns meeting room to its
original set-up. - The Vice President of Education releases the
schedule that indicates who is the Toastmaster
for the next meeting and members who have key
roles.
