2What We Expect of Our Employees
- Student employees are responsible for reporting
any changes in their status, such as from
student to non- student, to their supervisor.
Likewise, the unit supervisor is responsible for
reporting any change in the status of the
temporary employee to Recreational Sports
Student Personnel. The supervisor also is
responsible for monitoring the duration of
non-student employees. - You should not work more than 29 hours per week
within the University. It is the employees
responsibility to make sure they do not exceed
this limit. - Attend appropriate training sessions as required
for your particular job. (see Training and
Orientation) - Provide written and verbal feedback about your
job relating problems, questions, suggestions
and situations to your supervisor. Keep a tally
sheet if required. - Work your scheduled shift (s). If unable to do
so, cover your shift by using the appropriate
substitution procedure. Substitution procedures
vary depending on the job (program or building),
so please make sure you find a sub.

3What We Expect of Our Employees
- Be prepared for possible emergency situations
(i.e. tornado, bomb threat, red alert) by
studying the Emergency Procedures Response Plan
(flip chart) at your work station. - Correctly swipe your M-Card in and out on the
time clock. Please follow detailed instructions
posted by the time clock. - Keep your required certifications current. You
must show proof of valid certifications to be
able to work certain positions. - If you are asked to assist in a project using any
of the office machines, your supervisor will
instruct you in their use. If any machine or
piece of equipment breaks down PLEASE DO NOT
attempt to repair it. Let your supervisor know
there is a problem. - Once hired the Student Employees must Maintain
Good Standing with Rec Sports to continue
employment with Department. - carry minimum of 4 permanent hours per week for
entire semester - employee has not dropped permanent shift(s) after
add/drop date

4What You Can Expect From Us
- Training
- We will prepare you to be successful at your
job. It is the responsibility of the professional
staff to make sure you have the job knowledge and
training to do the job we ask you to do. The
professional staff will make every attempt to
make sure you are prepared for all situations you
may face during the course of doing your job. - Â
- Tools
- Every position in the department requires
different tools and materials to do their job
correctly and effectively. It is the job of the
professional staff to provide you with those
tools and materials. The professional staff will
make every attempt to make sure you have the
materials you need to do your job during every
shift. - Â
- Support
- If you handle yourself in a proper and
professional manner, and follow the guidelines
and policies as detailed in this manual, you will
have the support of each professional staff
member in our department.
5Before Your First Shift
- Once you have been hired to become part of the
team here at Rec Sports, there are a few things
you have to do before your first shift. - Please note, if you are missing employment
paperwork, you will not be able to schedule hours
or work any of your scheduled shifts. - Please see the Student Personnel Coordinator for
Payroll or your supervisor immediately.

- Complete or update ALL employment paperwork
- Student Employment Application (located in
Wolverine Access Student Business) - Complete the Rec Sports Employment Application
(recsports.umich.edu/student) - Federal Form I-9 Employment Eligibility

Verification Form
- Â Everyone in the United States, not just
students, must complete this federal form when
beginning a job with a new employer. - Although the form itself is easy to fill out,
you must also present an original document or
documents that establish your identity and
employment eligibility. The most common
documents students use to complete this form are
their original Drivers License presented with a
valid Social Security card or birth certificate
(certified copy), or Passport. Other documents
are also acceptable. Review the back side of the
I-9 form for a listing of all other acceptable

temporary employees please do not print the
document. - If you have any questions about completing the
I-9, please do not hesitate to call the Student
Personnel Coordinator - Payroll at 936-0613.
Students hired for supervisory, lifeguard, trip
leader or challenge program instructor positions
must bring current certifications with them when
they come in to fill out payroll forms.
8Attend ALL training, information and orientation
sessions.
- New Employees will need to attend an
Information Session. The information session
will be held to introduce the employment
opportunities available within Rec Sports.
Applications of New Employees will not be
reviewed without attendance at one of the
sessions. - Rec Sports provides training or orientation
sessions for introduction to department and all
student positions. These sessions are mandatory
and are an extremely important aspect of our
commitment to provide quality service to our
participants. This is where you will learn all
of the essentials that make up your position. - Job specific orientation sessions will be
conducted each semester. Attendance at these
sessions is mandatory for new and returning
employees unless excused by the supervisor for
the position. - If a student fails to attend a required
orientation session without notifying his or her
immediate supervisor, the decision of allowing
the student to retain his/her hours will be left
to the discretion of the immediate supervisor. - Students will be paid for the length of the
training and/or orientation session only if they
work TWO weeks (one full pay period) after work
schedules begin each term. IM Officials must
work at least one shift per week for the duration
of the season.
9Student Employee Handbook Agreement
- By signing this form you acknowledge that you
have read and understand this on-line manual and
that you agree to follow all the guidelines
outlined in it. You must sign and return this
form to your supervisor before your first shift.
10HIRING PRIORITIES
- Because of our departments commitment to the
Student Financial Aid Program, first
consideration is given, in some positions, to
those applicants who have received an award
through the Federal or State of Michigan
Work-Study award.

14Returning Employee Policy
- Current Rec Sports student employees taking one
semester off may be eligible to schedule the
following semester if they are in good standing
with the department. - If the student employee is off the department
payroll for more that one semester, the student
will be considered a New Employee. - The Spring/Summer semesters will not apply. Pay
Rate will determine how many semesters the
employee worked before the temporary leave.
15Instant Schedule Hours for Facility Operations
Employees
- Students will also be paid at the Instant
Schedule rate. Any time Instant Schedule hours
are in effect, students are not responsible for
covering their regularly scheduled shifts. Once
you sign up for an Instant Schedule shift, the
shift becomes your responsibility. If you can no
longer work the shift, you must find a sub as you
would any regular shift. - Â

16TIME CLOCK PROCEDURES
- In order to swipe in and out you must use your
M-Card in the time clock. Non-students will be
issued M-Cards to use for this purpose. You must
use your M-Card to swipe in and out. If you
forget your M-Card, notify your supervisor or the
building supervisor immediately so you can be
written in. Failure to notify your supervisor of
missed swipes may result in disciplinary action
and delay of pay. - When swiping in, follow the directions posted at
the time clock. When swiping out, slide your
M-Card through the time clock. - If you are working at the CCRB, IMSB you must
sign in to the book near the time clock. At the
NCRB, you must sign in to the book located in the
Equipment Room. - Intramural Program officials, sport supervisors,
and equipment staff must make sure their names
and times worked are listed on the IM Supervisor
Report in the sign in book. - Sport Supervisors (Clubs) must sign in the book
at each location. - If you realize that you forgot to swipe in or
out, notify your supervisor, the building
supervisor or one of the personnel coordinators.
17PAYCHECK INFORMATION
- Students working for the University of Michigan
will be paid on a regular, bi-weekly schedule.
Paychecks are issued every other Friday from the
University Payroll Office and sent to a location
designated by the employee. Please visit
www.payroll.umich.edu/biweekly.html for the
bi-weekly payroll schedule. - Students may choose to deposit their payroll
checks directly to a local bank account by
completing the Direct Deposit information located
on the Wolverine Access (Student Business) web
site (https//wolverineaccess.umich.edu). Direct
Deposit is the Universitys recommended method
for delivering your paycheck. Students should
expect to be paid within three weeks of
completing and submitting employment materials
and starting work. Students are paid in a timely
manner for all hours worked. - Â
- If you move, you must change your address on
Wolverine Access. If you need to change Direct
Deposit Information please make changes on
Wolverine Access. Contact the Payroll Coordinator
at CCRB for details. - If you have a problem or questions regarding your
paycheck, please contact the Payroll Coordinator
at CCRB, 936-0613. If the Payroll Coordinator is
unavailable, the Assistant Director of Student
Personnel at CCRB may be able to assist you at
763-3084.
18WORK schedules
- We recognize that academics is your top priority,
but we expect that you budget your time
accordingly to accommodate your work and academic
schedule. Supervisors and participants are
counting on you to show up for work. Employees
are expected to show up to work, follow the dress
code, and be ready to fulfill their duties at
their scheduled times.
19SUBSTITUTIONS
- If you find that you cannot work one of your
shifts, it is your responsibility to find a
qualified (trained for that specific job)
substitute for your shift. You are expected to
look for a substitute as far in advance as
possible. The shift is your responsibility until
a sub is found. If you cannot or do not find a
sub, you are expected to work the shift. - Substitution procedures vary depending on the
job, please follow the appropriate substitution
policy. The substitution policy for each job is
listed in the training manual. We must all act
responsibly to guarantee the highest staffing and
customer service levels possible.
20RESIGNING HOURS (Permanent Shifts)
- When an employee resigns hours (permanent shift),
a 2-week Notice Form must be completed by the
employee. Once completed, the employee will hand
in to the Supervisor and the Supervisor will give
to the Personnel Coordinator. The 2-weeks will
begin when Kathy receives the Notice form. - The employee is responsible for working the hours
or finding a eligible sub (current Rec Sports
employee) to work the hours unless a replacement
is found. - Failure to follow this procedure will result in a
Not recommended for rehire notation in the
employees personnel file. - Resigning Hours may impact the seniority level of
the employee. - Please note, Intramural Sports Officials must
contact the Assistant Director-Officials to
request not to be scheduled.
21Upon Completion of Employment
It is the responsibility of employees to return
any keys, equipment or materials that have been
provided during their employment with the
Department of Recreational Sports.
22On The Job responsibilities
CELL PHONES WIRELESS PHONES Student employees
are not allowed to use cell phones and wireless
phones (i.e. IPhone, BlackBerry, Trio) while on
duty. Only building, program and sport
supervisors may use their cell phones for Rec
Sports business purposes only. Â
To improve customer service, many of the
professional staff carry cell phones. Please feel
free to contact them should any problem arise.
For numbers, see the Department Directory located
within each Front Office and Equipment Room.
These numbers are not to be distributed.
23COMPUTERS OTHER OFFICE EQUIPMENT
- Student employees are prohibited from using Rec
Sports professional staff computers and/or
offices without prior permission. - Student employees assigned to particular office
area computers may ONLY use computers for
non-work related use with permission of their
professional staff supervisor. - Non-Work related use must be for homework
purposes only. No Facebook, Instant Messaging,
etc. - NO LAPTOP COMPUTERS at any workstations.
- Student employees may not use cop y machines, fax
machines , departmental supplies or phones for
personal purposes.
24Dress Code
To maintain a professional environment, student
employees are required to dress according to the
departmental dress code policy. Employees should
always report to work wearing clean and neat
clothing.
- Employees are REQUIRED to wear
- Department issued shirts (must be clean and
unaltered) - Shorts (no shorter than 3 inches above the knee)
- Slacks/jeans/warm-ups or athletic pants (must be
clean, neat, without holes and are not frayed) - Skirts may be worn, but no shorter than 3 inches
above the knee - Closed toe shoes must be worn by anyone working
in the weight room
25Dress Code Student employees MAY NOT wear
- Hats, caps, or head coverings CANNOT be worn
while on duty indoors. Hats are permitted only
for those employees who work outdoors. Scarves or
other head coverings are allowed for religious
purposes only. - Shirts that dont cover shoulders or midriffs.
- Flip flops
- Sweatpants
- Pajama bottoms
26DRESS CODE IM Officials
- Intramural officials are required to wear
appropriate officiating apparel.
27- Please keep the Handheld Game Devices, Ipods, etc
at home or in your backpack. These are not
allowed while you are working. - No Headphones
- Earbuds!
28Can I Eat When I am Working?
- Generally, food and drinks are not permitted near
computers and may not be permitted at all in some
work settings. - Check with your supervisor
- for what
