Introduction
  • Exporting is the process of sending data from
    your local database to a database in another
    location.
  • This presentation will illustrate How-to export
    data from your TOPSpro database by breaking the
    process into a series of easy to follow steps.

Vocabulary
  • export
  • 1. To send or transport (a commodity, for
    example) abroad, especially for trade or sale.
  • 2. To send (data) from one program to another.

Be Prepared
  • Always BACKUP your data BEFORE exporting.
  • It is always better to be safe than sorry!

Step One
  • Open TOPS and click Wizards Import/Export

Step Two
Clickgt Next
  • Click gt Export this systems data for use on
    another system

Clickgt Next
  • For submission of quarterly data,
  • Click gt Export tables for Data Submission (on
    disk)

Clickgt Next
  • The default setting is to export student data
    only.Accept this setting unless told otherwise.

  • The default is to export all tables and include
    incomplete records, accept this setting unless
    told otherwise.

Check gt Activity Dates

  • For quarterly data submission, the dates should
    correspond to the current fiscal year.
  • Set Site, Program, Class and Student to
    All

Clickgt OK
  • You may get this message if any of the tables
    have no records. While it is common for
    Personnel and Class Status records, it should
    not happen for other record types.

Step Seven
The Send data as email option looks tempting, but
it does not work for us. Do not use it.
  • Click gt Save data on disk...
  • Even if you going to be sending the file by
    email.

  • Click gt the Hard Drive icon

In this example, I am saving the export file onto
my Desktop.
Clickgt Save
  • Navigate to an appropriate folder, such as My
    Documents or the Desktop before clicking the
    Save button.

Now you can Clickgt Next

  • Uncheck both of these boxes unless told otherwise.

  • Good! We have successfully created and saved an
    export file.

  • Be sure to encrypt the file before sending it in
    an email.

  • If this export is for data submission, use your
    email program to attach the encrypted file and
    sent it to kzutter_at_doe.nv.gov
