right car rental company for your trip. Various
companies serve various cities throughout the
world. A travel agent can save the time and your
effort of calling many companies to find the best

may be well known of coupons promotional
rates and other special programs, which are not

The Cost of Renting a Car
  • Cost may vary as per the size and style of a
vehicle. However, many companies rent economy,
intermediate, compact, and deluxe cars. Most of
the time, they offer special promotional rates,
especially over weekends, but remember these
should be requested in advance or confirmed in
prior. In general, car rental companies charge
    four kinds of basic rates
  • A daily rate with a mileage charge
  • A daily rate with unlimited mileage
  • A daily rate with a limited number of free miles
per day and a rate that has free mileage over an
    extended period.

  • Other following fees may also be included in the
    rental value
  • (a) Car Rental Taxes In addition to the
charges and daily rental rate aforementioned,
taxes (which differ by state) are also charged.
International rentals are also subject to a Value
Added Tax (VAT).  For international car rentals,
taxes often add up to 10 to 30 percent apart from
quoted rate. At some airport rental locations, a
few car rental firms may also charge an airport
surcharge cost of about 10 of the rental rate
    besides normal taxes.
  • Read the rental agreement carefully to
understand possible restrictions, what the rental
rate covers, and the liability of the renter. If
you find a car rental firm is presenting a low
rate, ensure that the agreements restrictions do
    not outweigh the cost savings.

  • (b) Gasoline Charges While you check in, get
familiarize yourself with the car rental
companys policy on gasoline. Some firms will
expect you to return with the gas tank empty and
charge you a flat rate for gas upon renting the
car. However, if it is not already full, you will
be charged based on the companys gas rates for
filling the gas tank when the car is returned. If
you are supposed to return the car with a full
tank of gas, it is advisable to fill the tank in
gas stations, as gas prices are typically less
    expensive there.

  • (c) Car Rental Drop-off Charges Normally, an
extra fee is charged if a car is returned to a
different location or city than where it was
picked up. If you wish to drop off the car at a
different location, make sure to notify the agent
while making your reservation. And so, the
drop-off charge may already be included in the
    car rental rate.

Car Rental Insurance Options
  • (a) Loss Damage Waiver (LDW) or Collision
    Damage Waiver (CDW)
  • It is to be noted that the renter may be
responsible for the first several hundred dollars
of damage (the deductible) up to the full amount
of the car, if a rental car got damaged. However,
the renter will be free from responsibility for
any loss or damage to a car up to the full value
of the vehicle, by purchasing Collision Damage
Waiver (also known as Loss Damage Waiver). If it
is found that the renter violated the rental
agreement, then the waiver is void or no use.
Your personal auto insurance may give coverage
for damage to the vehicle and so, the purchase of
CDW or LDW may not be necessary. Rules and
regulations for selling CDW/LDW differ from state
    to state.

10
  • Generally, CDW/LDW is an optional feature, but
still, a few companies want renters to buy this
waiver.  Before you arrive at the rental counter,
decide whether you need CDW/LDW or not (consider
your own automobile insurance policy) and check
how much this CDW/LDW may raise the daily rental
rate (CDW/LDW costs range from 8 12 per day).
Sometimes, you can find a special offer for a
larger car that includes CDW/LDW as well. In such
cases, the larger car may be less expensive than
    the economy car.

  • (b) Personal Effects Coverage (PEC) See your
auto insurance policy to check whether your
coverage includes rental cars. This PEC coverage
offers protection against theft or loss of
personal belongings from the rental car.
  • (c) Personal Accident Insurance
(PAI)  Normally, this insurance is optional.
Personal Accident Insurance provides medical and
accidental death coverage for the renter and
additional passengers, whom are riding or driving
with the renter during that time. Verify your
personal car insurance policy to check if it
covers car rentals. If you find that your policy
covers car rentals, then you may not need PAI.

  • (d) Additional Liability Insurance (ALI) This
is an optional insurance that guards the renter
and other authorized operators against claims
made by third parties for death, bodily injury,
and property damage caused by using the rental
vehicle. Again, check with your own auto
insurance policy to find out whether additional
    excess coverage is already provided.

Car Rental Documents and Requirements
  • An international driver license may be
essential in some countries. All car rental
companies insist on a valid driver license.
Additionally, even if there is a direct billing
or prepaid voucher to the client or corporation,
many companies require a major credit card to
guarantee payment. Be aware of your credit card
limit, as many companies ask for immediate credit
approval before renting the car that can reduce
    your remaining balance of credit.

14
  • (a) Alternatives for Credit Card Payment Mostly,
the rental firm will accept their own pre-paid
vouchers issued by an appointed travel agent, if
in case you do not have a credit card. Most of
the companies will require a large cash advance
or cash deposit, while some may require filling
out a cash qualification questionnaire at the
rental office during normal business hours so
that it may be verified. However, the final
acceptance of a non-credit card rental is the
decision of each individual rental location.

  • (b) Drivers Age Generally, car rental firms
want renters to be at least 18 years old, but
now, some companies require a minimum age of 25
years. Likewise, senior citizens over a certain
age are not allowed to rent cars in some cities.
Ensure to verify the age restrictions while
    making your reservation.
  • (c) Number of Drivers Read the rental contract
carefully, as it mentions the details like who
can drive the car. Even though policies may
differ, many car rental companies permit an
immediate relative who is of age to handle the
car. Some companies also allow a direct business
associate to drive the car. There may be an extra
    charge for any additional drivers.

  • Car Rental Confirmations
  • Make sure that you get a voucher or
confirmation from your travel agent before
departing. The document should include the car
rental company name, type of car requested,
    confirmation number, date, and flight
information.  If the car rental firm is sited
outside the airport, a contact number for the car
pick-up should be provided. And, dont forget to
notify any cancellations to the company.

  • Picking Up Your Rental Car
  • Once you reach the car rental counter,
provide your confirmation number, voucher and
credit card, if required. The customer service
agent will direct you to the place, where you can
pick up your car, once the formalities completed.
Read your agreement carefully before you sign it.
Also, it is important to examine the car for the
mileage information and any damage. Take a few
more seconds to adjust your seat and mirrors,
locate the controls for the windshield wipers,
turn signals, lights (high and low beams) and
cruise control (if applicable), view the horn
placement and control panel for defroster, air
    conditioning, and more.

  • Returning the Rental car
  • Rates are mostly based on a 24-hour period,
usually with a one-hour grace period to return
the car. The average overtime charges range
between 12 and 15 per hour and the hourly car
rental rates are usually higher. So, if you keep
the car for more than four hours after it was due
back at the rental firm, it is worth extending
the contract for another day. Also, keep in mind
that weekend specials are applicable only during
particular time periods. Therefore, keeping the
car with you beyond that time may change the
    rental rate.

  • Conclusion
  • Take time to read your rental agreement
carefully and ask questions to the car rental
agent and to your travel agent if you are not
sure about any particular thing. The policies
discussed above may vary among locations and
    companies.
