1) Edit Existing Computer Data Special Command
Buttons
NOTE Data can not be changed on this screen. To
edit either Hardware or Software, click on the
Serial Number and then select which section you
wish to edit.

1a) Edit Existing Computer Data Finding
Specific Data
The Find button can assist you in finding
specific data from the form. Click in the field
you wish to search and then click on the Find
button.
Insert the value you are searching for in the
Find What field
Note The Find button can be used throughout the
database when large amounts of data are presented
at once.

1b) Edit Existing Computer Data Sorting Data
The sorting buttons can assist you in sorting
specific data in the form. Click in the field you
wish to search and then click on the appropriate
sorting button.
The sort ascending button will sort the data in
ascending order from A to Z or in numerical order
0 to 9.
The sort descending button will sort the data in
ascending order from Z to A or in numerical order
9 to 0.
Note These buttons can be used throughout the
database when large amounts of data are presented
at once.

1c) Edit Existing Computer Data Filtering Data
The filtering buttons can assist you in filtering
specific data in the form. Click in the field you
wish to filter and then click on the appropriate
filtering button.
The Filter by Selection button will filter the
data in the form by the value currently selected
on the form.
The Filter Excluding Selection button will filter
out the data in the form by the value currently
selected on the form.
The Remove Filter button will remove any filter
you have created and display your full list of
data again.
Note These buttons can be used throughout the
database when large amounts of data are presented
at once.

1d) Edit Existing Computer Data Reporting
Computer Problems
This screen allows you to track maintenance or
problems and tie it directly to a specific
computer.
Required fields are listed in RED
The information recorded in this form will
follow this specific computer while it is in the
database.

2) Standard Inventory Reports - Custom Reports
The Custom Report Writer screens allows you to
customize the standard reports found in the
database by allowing you to specify criteria the
report will be based on. The reports can be
viewed in either the standard Microsoft Access
format or can be exported to Microsoft Excel
where continued customization can occur.

To select the criteria your report will be
created on, select the appropriate field or
fields and then select a value from the provided
drop down list.
Once the criteria has been selected choose the
appropriate report.

To select the criteria your report will be
created on, select the appropriate field or
fields and then select a value from the provided
drop down list.
Once the criteria has been selected choose the
appropriate report. These reports will then be
exported to your desktop or default file location
and can be viewed using Excel. NOTE Any data
manipulation will not translate to the active
database.

Tools - No Usage Type Defined
If there are computers in your inventory that
have Not Available as the Usage Type you will
be notified on entrance to the database.
You can quickly look at the these computers by
clicking on the box.

The Edit Existing Computer Data screen will be
displayed and only those records where Not
Available is listed as the Usage Type will be
shown. You can then edit these records as usual.

computers that were bought using Title 1 Funds.

Computers
The Obsolete Computers screen will show all of
the computers that have been transferred to (999)
Obsolete using the Transfer Computer Screen.
NOTE Computers transferred to other schools or
other locations will NOT appear on this screen.

Computers
You can display computers transferred to Obsolete
by date range by using the filter box provided.
To Filter between a date range, insert beginning
date in Date 1 field and the ending date in
Date2. NOTE You will not have to insert the /
in the date value. Remember that the date must
be in the format of 2 digit Month, 2 digit day
and 4 digit year.
You can then click on the Filter form by dates
button and the form will display and recalculate
the form based on the date range specified.

4) Computer Inventory Database Obsolete
Computers
The screen will then redisplay the list of
computers based on date range specified.
The Preview Report button will create a report
based on ALL obsolete computers regardless of
date range specified.
The Preview filtered report button will create a
report based on date range specified.
