SITUATION The IT and Operations organizations of
a major company had recently organized into a
shared-service setup prior to that, dedicated
support was provided individually to each
business unit. While moving to the
shared-service model, many of the existing
processes and deliverables were undefined, and
there was no agreed mechanism to communicate
needs, manage resources and deliverables in a
timely and cost effective manner. As a
consequence, requirements were not adequately
understood, projects suffered capacity
constraints, and overall project progress was
slow and expensive.

- Lack of integration Products/processes needed to
be integrated across multiple business units - Lack of co-ordination Projects needed to be
co-ordinated across needs and dependencies - Inconsistent processes/structures Processes and
structures needed to be standardized in working
with Business Units/Service Units - Lack of financial validation that the shared
services model was indeed cost effective

reporting systems - built business cases to compare existing business
model vs. shared services model and evaluate
savings estimates - 35 annualized operational cost savings as a
result of implementing our improvements to the
shared services set up
