Ceremony Basics
  • Renaissance Hotel (Located Downtown)
  • Guest speaker MCPO John Neice
  • 24 per person Chicken Primavera or Vegetable
    Primavera
  • (NO outside food allowed.)
  • Graduation seating is by FLIGHTS, NOT BY BASES
  • No entrance/exit to banquet room once the doors
    are closed ceremony has begun
  • No entrance into banquet room during social hr
  • No children under the age of 12 allowed (NO
    EXCEPTIONS)

Invitations
  • Will be sent from student to guest
    electronically, by fax, or contact by phone
  • You must pay for your guest(s) meal
  • Maximum of 3 guests allowed per student
  • (This does not include Wing CC or CCM)
  • Electronic Invitation (E-vite) available

Wing CC/Wing CCM Invites
  • GTNCOA/CSS will invite all Wing CC/CCM with the
    names the students provide in I-Gecko. Please
    make sure your information is correct.
  • We will hand out a confirmation listing to
    show/confirm which Wing CC/CCM we actually sent
    the e-vite.
  • Reminder, the Wing CC/CCM DOES NOT count against
    your numbers.

Hosting
  • Students MUST host all their guests
  • Pay for ticket(s) prior to ceremony
  • Suggest guest reserve rental car
  • Arrange billeting for all guests!
  • Use billeting reservation forms in LRC
  • Turn completed forms into Gunter billeting office
    front desk NLT DOT 25, (After this date,
    billeting will not accept anymore requests)

Hosting (continued)
  • Notify GTNCOA/CSS AS SOON AS you know a General
    Officer (0-7 and above) will be coming.
  • Provide Name, Rank and Phone Number
  • Their billeting will be arranged by Air
    University Protocol
  • Immediately notify GTNCOA/CSS of changes
    involving General Officers.
  • - AU Form 88 is given to you by the CSS, please
    fill out the form completely. The form will then
    be sent to AU Protocol by GTNCOA/CSS

Main Spreadsheets
INFORMATION ON student SharePoint MUST BE TYPED
FOR EACH GUEST All information must be in ALL
CAPS filled out completely
accurately Spreadsheets will be returned if not
in correct format Save the copy of the
respective Flt spreadsheet on the SharePoint

  • Spreadsheet Procedures
  • All students need a S by their name to
    distinguish students
  • from guests
  • Ensure all guests have the correct student
    beside their name
  • Need to annotate Wing CC or CCM
  • Your spreadsheet is important. It is
    copied/pasted and used
  • to do the seating chart.
  • Make sure all students and guests are listed
    on MAIN spreadsheet.

  • FLIGHTS ALPHA NOT NUMBER
  • STUDENT PUT S BY THE STUDENT

Payment Information
  • Acceptable forms Cash and/or Money Orders
  • DVs-Credit Cards Only (Col, CMSgt, O-7-above)
  • Money Orders
  • Payable to GTNCOA Class Fund
  • Submit money for students and guests
  • No partial payments
  • NO REFUNDS (EVEN IF YOUR GUEST(S) CANCEL)

Deadlines
  • CSS will not accept anymore RSVPs after your
    flight Turn-In date.
  • Money collection for Graduation will be on
  • Dot 22, Time 1300 Flights F-J
  • Dot 23, Time 1300 Flights K-S
  • SSgt Deschene or A1C Jackson - Command Section
  • Items to be included with collection
  • Information saved on SharePoint (CSS will have
    access to spreadsheet saved on SharePoint)
  • Money Bag
  • Please Know How Much Money You Have
