Scenario 1Merging Collections
  • A librarian takes the dominant collection and
    merges the second collection into it.
  • Before merging the two collections, the librarian
    is concerned with the following steps for the
    Items Database
  • Purchasing needed supplies
  • Weeding before merging
  • Re-assigning duplicate barcodes
  • Remarking and re-barcoding all merged items
  • Having sufficient shelving space for additional
    books
  • Verifying and comparing both item databases and
    MARC records before merging.

Scenario 1Merging Collections
  • Patron Database Concerns
  • Importing students from both schools
  • Comparing and verifying student database and
    making corrections as needed that cannot be done
    globally.
  • Physical Transfer
  • Pack, label, transfer, unpack and verify MARC
    records for all transported items
  • Support
  • District assistance to complete the physical
    labor involved during the transfer.
  • Substitutes and/or volunteers to assist in the
    tasks of labeling, packing, unpacking,
    re-marking, re-barcoding, and shelving.

Challenges During An Elementary School Collection
Merger
  • Time to do the job effectively.
  • Keeping administration and faculty updated.
  • Library will be temporarily closed.
  • Library assistant working with textbook merger.
  • Weeding as boxes are unpacked due to insufficient
    shelving available for transferred books.

Consequences of Merging Collections
  • The following are adverse consequences for
    consideration when merging ES/MS collections.
  • The collections become weaker and less supportive
    of the scope and sequence for MS students still
    at the campus
  • Collections that are the dominant collection will
    suffer a lack of balance and quality in support
    of student achievement. Books have conceptual
    value and should not be moved arbitrarily like a
    piece of furniture
  • The ES/MS librarians will not receive enough
    materials to adequately support the curriculum
    and will still need to purchase additional
    materials, not only books.
  • Re-opening too early will not allow librarian to
    have everything labeled, barcoded and shelved for
    proper circulation.

Scenario 2 Purchasing Collection Supplement - 1
  • Purchasing materials allows
  • Current collections to be enhanced towards
    meeting state standards, and will
  • support district scope and sequence and state
    TAKS for either elementary or middle school as
    needed
  • provide the most up-to-date fiction and
    non-fiction resources, print and/or electronic
  • develop a more balanced, quality collection based
    on what the campus already owns and
  • Books will arrive at the campus barcoded and
    almost shelf-ready for student checkout.

Vendor Recommendations as of Fall, 2003
  • Three vendors were requested to submit
    recommendations with in the amounts of 10,000,
    20,000, 30,000 and complete CORE collection
    purchases for elementary and middle school
    libraries.

LMS Recommends Purchase Budgetsfor PK-8 Libraries
  • The Office of Library Media Services recommends
    that SAISD
  • investigate the possibility of funding a basic
    collection for each campus,
  • encourage campus administrations and CLTs to
    budget additional funds aside from the 1 per
    student to purchase all needed materials to
    support the scope and sequence, and
  • Hire a full-time librarian for each PK-8 campus.
