  • Arrival times, always try plan to arrive during
    daylight

  • Preferably get your visa prior to departure -

Planning and Preparation Survey

  • Ensuring that a copy of the travel itinerary is
    provided to someone at the office?
  • Ensuring that hotel accommodation has been
    confirmed?
  • Ensuring that all necessary visas travel
    documents have been obtained?
  • Ensuring that the traveler is aware of the
    contingency planning procedures?
  • Knowing what the current crime and political
    situation is?

  • Communication
  • Changing your business or personal plans - your
    local office should be kept updated.
  • Visiting new locations / cities that have not
    been vetted or cleared.
  • Tours and sightseeing trips - while most are
    considered safe, you should always be aware that
    it may be a target due to high number of tourists
    eg. Cairo.
  • Mobile phone roaming - always ensure you have
    some form of communication either telephonic or
    mobile email, do not wait until you are in
    country before you do this.
  • Develop a communication policy i.e. contact twice
    per day at specific times. This should be
    structured according to the threat or risk
    profile of the country.

  • Contingency Planning
  • Passports Tickets - have certified copies.
  • Embassies - always know where they are and what
    their contact details are. Always register with
    your embassy when you arrive.
  • Injury or illness - ensure that you have the
    necessary documentation and medication with you.
    Always have a medical plan in place.
  • Motor vehicle accidents.
  • Civil Unrest, Protests, Riots, Strikes - Make
    sure that all your travelers know what they
    should do and who to contact should they get
    injured or caught in a protest.
  • Flight related problems - in the event that you
    need to get out of the country, always have
    alternative options should there be a
    delay or problem with your current flight.
  • Have a plan in place with your organisation and
    family.

Contingency Plans - Survey
  • Corporates Do you have a contingency plan in
    place for traveling employees?
  • Do you require your travelers to register with
    embassies?
  • Do your travelers know what to do in the event of
    an emergency? i.e. Who to contact?
  • Do you inform the local embassies of staff travel
    arrangements?
  • TMCs - Are you involved in your clients
    contingency planning?
  • Do you advise your clients against travel to
    areas that may be considered high risk travel
    regions?

Tips
  • When selecting a hotel, get advice from your
    travel agent or local embassy as to suitable
    hotels
  • When reserving a room, make sure you do not book
    a room on the ground floor (if windows open
    outside) or too high, the ideal floor number
    should be between 2nd 4th floor
  • Book a room that has a window towards the rear of
    the hotel, avoid having a room that overlooks the
    entrance or front of the hotel.
  • Book a room that is quite close to the elevator -
    they tend to be safer.
  • Familiarise yourself with the evacuation plan and
    know your whereabouts in the hotel i.e. know
    where the nearest fire escape is.
  • If you need to travel outside the hotel, use
    either the hotel taxi service or ask the
    concierge for an approved taxi service.
  • Always keep a flashlight next to your bed in the
    evening. If there is an emergency
    situation, there may be no lights at all.
