performance evaluation in your organization

8If you want to create an entry about your job
performance, go to the Performance Note Menu.
Select Self.
9If you want to enter a note about a
Subordinates job performance Select
Subordinate
10The software will post a list of your
subordinates. Select the Subordinate you wish
to enter information about. If you are a
supervisor and are assigned Down-line
rights, you will be able to open up the list of
people who are your subordinates - and their
subordinates. (The number of layers you may view
Downline can be adjusted.)
11Upon selection of a name,
12 the software will automatically load the list
of characteristics called Booklets assigned to
that person or that role. Some examples might be
Job Tasks,
Dimensions, or Competencies.
13The date of the entry will be entered
automatically by the system. As you open the
correct booklet, you will see a list with
signs to the left of it. If you click your
mouse on the sign it will open up the list to
the next layer. You may select any item or
combination of items within a single booklet.
14On the left side of the screen you will see the
unique set of fields that you are required to
complete
for each booklet.
15When you have selected all the items and
completed the fields, you may click on Evaluate
at the bottom right of the
form. This opens an area for you to enter your
observations about the incident being evaluated.
16First, you must enter whether you have discussed
the entry with the employee by entering a Y or
N into the Note and the
date if your response is Y. This will allow
you to append information. If you are the
supervisor of of record, you will not need to
complete the verification step.
17If your response is No, simply complete the
form.
18Entering Complete saves the entry and assigns
it a unique tracking number. If you Review an
Entry, you may update it later by selecting
Update. If you are the supervisor of record,
you may also Approve notes entered by others.
19The supervisor of record can see the total number
of notes, and can even click the number and
review the notes themselves. When the Appraisal
period is up, the Supervisor clicks Calculate
and scores are presented by category and tallied.

24If involved in, for example, a Use of Force
Incident, Pursuit or Accident and you want to
initiate the record, by entering your information
about yourself Select Self.

27If you are a senior officer and are assigned
Downline rights, you will be able to open up
the list of people who report to your
subordinates. (The number of layers you may view
Downline can be adjusted by your system
administrator.)

with that person become available for entry.
29There are two categories of booklets one is for
information about an issue of EI concern. Use
these booklets to capture and process information
and details. The other booklet is an EI Case
Management Booklet, for you to use to enter the
changes in status or assignment or to manage an
EI Case as a case.

a list with signs to the left of it. If you
click your mouse on the sign it will open up
the list to the next layer. - You may select any item or combination of items

On the left side of the screen you will see the

each booklet.

on the left side of the screen.
33Your subordinates may enter information into
Booklets through their own logon. An example
would be a Use of Force incident.
34When you have selected all the items and
completed the fields, you may click on evaluate
at the bottom right of the form. This opens an
area for you to enter narrative information about
the event.
35You must also enter whether you have resolved the
issue by entering a Y or N into the note and
the date if your response is Y. This will
allow you to append
information about how the issue was resolved. It
can be set up so you will need to verify even
your own entries this allows you to update and
append information to the entry.
36If a subordinate makes an entry and you log onto
the system, you may go to the EI Note Menu and
choose Verify to approve entries. Each entry
will have
information about the date it was entered and the
source of the entry. If you have verification
rights, you will be able to verify the
information in the form.
37If a subordinate makes an entry and you log onto
the system, you may go to the Review item in
the EI Note Menu and select to review entries
from Direct or Downline subordinates.
38Each entry will have information about the date
it was entered and the source of the entry as
well as other fields clicking on the top of a
list will sort the list. In the open box, if you
type in a level,
the software will load up a list of employees at
all levels you wish to view.
39When you open an entry to review it, if you
select the Update button you can open the entry
up to add further input. The software will
retain or save the earlier version for data
quality purposes. To find
the latest version of an entry, simply sort the
list of entries for the most recent version in
your Review List.
40You can resize the panes. Below is the same
window as the previous slide. It looks different
because it has been adjusted to make it easier to
see the EI Note Fields and
Narrative panes.
41To see and create a combined report of activity
and incidents regarding one of your subordinates,
you may go to the EI Report menu
and select pending E.I. Reports for your
subordinates.
42And then select the subordinate you wish to
create or view a report for. NOTE You may have
rights to several Segreant Applications, so
select Early Intervention from the drop down
list.
43Enter the time range in the first two date fields
at the upper left of the form. Enter the date
for the report into the upper Right date field.
44At the bottom Left of the form is a Calculate
button. Clicking on this button will pull all
records from the window of the date range you
have selected into the report and the number of
items pulled up will be displayed in the
EI Management Report in the Entries column.
45If you click on an entry number, the group of
entries that are related in the database will be
posted in a box on the screen. You may then
review each of these in turn and may even update
them with additional information.
Type in the first few letters of the name you
wish to rise to the top of the list.
46On the lower Left of the form are options for you
to change the status of the report. At the point
you select Preliminary Report, the file will
appear on the Pending List for your direct
supervisor.
47Once your Supervisor has approved these reports,
they will be routed up-line for approval. Upon
final approval, they will appear on the
Completed Reviews list.
48Training Certification Protect your
organization. Make sure your training and
certifications are current.

50With data entry rights, you can enter training
notes as a surrogate for an employee, a
supervisor, an instructor, or even the Training
Manager. Select Training Data Entry.

Supervisor or Self.

portfolio of the Employee.

field to be completed such as the date assigned
field.

60When required fields are completed, clicking on
Evaluate at the bottom right of the form opens
an area to enter narrative information about the

information about the course itself. Some
organizations are set up to automatically verify
entries made by the training manager.
62If an employee desires to make an entry and log
onto the system, they may go to the Training
Note Menu and choose My Record to make an
entry. Each entry will have information about
the date it was entered and the source of the
entry. These entries will not be automatically
verified. The Training Manager will need to
verify them.
63If an employee makes an entry and you log onto
the system, you may go to the Review item in
the Training Note Menu and select to review
entries from Direct or Downline subordinates.

Certification lapses ----- youll know!

set the connection rules for your desktop.

just like all Segreant Software.

or a date for a scheduled report is met and then
set your notification client to poll for

met, you are notified and can view the report, go
to the program to work with the raw information
or dismiss the notification (the software will
record your actions).

notification, you can log onto the Reporter and
design your own reports or you can use reports
that Segreant provides for you.
