Progress by Functions
  • Facilities
  • Revised fence permit received from the City 3
    bids recd from contractors all in the 60K
    range
  • Pujari room fire wall permit recd-work started
    3.3k
  • Stage curtains and lights vendor selected.
    Deposit paid work to commence in Sept 20K
    for both
  • 2 storage units installed in the back parking
    corners -4K
  • Tiles, paint and other upkeep completed
  • Electronic lock project completed - all interior
    doors

  • Library catalog fully on digital data base
  • ICAL installed for all event bookings by VPs or
    their designated committee volunteers events on
    line reduce or eliminate the rental schedule
    conflicts
  • Video switch installed for easier web cast set up
  • Sound system training done for ease of use two
    speech only mikes installed permanently on the
    stage
  • Contact Us info added for all EC and BoD members
  • Hotel info for nearby hotels added to the web
    site
  • Work started on IP phones to improve usability
    and install more user friendly voice mail,
    extensions by functions etc

  • First major academic year of Jain Shala
    language classes completed successfully
  • Several meetings held with teachers curriculum
    review completed. New lesson plans for Sept in
    preparation
  • New books ordered from JAINA some delivered
  • Shala registration automated with on-line
    registration
  • Excellent cultural program held in April 03
  • Schedule changed for next year to complete
    classes by 1230pm and start them at 1000am

  • No major changes to religious events except
    Bhawna schedule and participants
  • Major events upcoming Pratishtha Mahotsav with
    Manoj Haran and Paryushan and Dashlakshana with
    various scholars
  • Youth event held with Atul Desai poor
    attendance by youth. Upcoming event in Aug with
    Shilapiji attendance concerns
  • Manharbhai Shah nominated new Co-VP of Religious
    Committee need board approval

  • Introduced debate as a new event of interest
  • Ravindra Jain program was very successful
    positive financially as well
  • Picnic drew 525 attendees a very enjoyable
    event
  • Participation at JAINA cultural program by our
    young performers was an excellent show of talent
  • Volunteer recognition and Dandia Raas programs
    planned in Sept and Oct

  • Excellent job being done by the Newsletter team
    most recent issue in the mail as of yesterday
  • 123 Signup installed for on line membership data
    base, facilitating real time changes by members
    and on line event registration for any event that
    we plan
  • Not much progress in the PR activities with any
    of the publications
  • Considerably enhanced dialog with educational
    institutions like Santa Clara University and
    Stanford

  • Rental
  • Rental income in 2002 had dropped to 20K from
    50K in 2001. We made a goal to double that in
    2003
  • Rates were reviewed for 17 different facilities
    by Nima Gujar and team for coming up with market
    rates and EC approval
  • Considerable PR effort was launched by Nima with
    some of the organizations for considering Jain
    Bhawan for their events
  • The efforts have paid dividends we have an
    income of 20K so far and expect to do another
    20K by year end
  • Rental Profile Religious organizations 11,
    Concerts 9, Personal 10, Ethnic or other
    Organizations 8 and other 6
  • Many questions and issues have come up we will
    review them and discuss in a separate slide
  • Our facility is creating a very good image for
    Jain Center in the Bay area and a positive image
    is spreading day by day

Rental Event Issues
  • Issues
  • Are the rates too low?
  • Food Control some mishaps
  • Conflicts with other events
  • Facility care and time limits at night
  • Solutions
  • Review rates immediately particularly for
    Sundays and weekdays and the discounts given to
    non profit organizations
  • On line calendar for all EC members to see to
    avoid conflicts
  • A designated custodian for every major event to
    take care of all the control issues for food,
    for facility opening and closing and cleanliness,
    postings of pictures and literature etc

Concern Conflict of Interest for 123 Singup
  • Kundi ben asked me to address this issue as
    someone has raised the matter of Raj Shah being
    the President of 123 Singup
  • How did we do the procurement of the product?
  • Assigned the matter to Chetan Sanghvi to handle
    this procurement
  • Looked at 4 companies Cvent.com, Activa.com,
    Kintera.com and 123 Signup.com
  • First 2 are website based only and for events
    only no membership data base facilities.
    Kintera was close to our needs but wanted 10K
    upfront and consulting fees
  • 123 Signup was then asked to submit a proposal
    that was reviewed at the EC meeting
  • Revised proposal was obtained and was reviewed by
    Bipin Shah

  • Further concessions were sought and negotiated by
    Chetan with VP Sales at 123 Signup
  • Sudhanshu Jain of Technology Committee approved
    the product
  • Agreed to proceed with setup fee of 1,999 and a
    monthly fee of 249 along with the customary
    transaction costs 0.75 for each member addition
    beyond a certain number, 1 for transactions
    below 10 and 2.00 for transactions above 20
  • Annual cost estimate of 5,000 for all uses
  • Raj Shah was not a participant in any dialog with
    the company or for any internal discussions
    during negotiations.
