2DATAD Highlight on progress
- Integration of DATAD activities
- DATAD activities have been integrated into the
UDSM library routines. - Three staff are directly carrying out the DATAD
activities as part of their day-to-day duties in
the library. - Two staff are dealing with scanning and data
entry activities and one is responsible for
quality control and co-ordination. - Technical support is obtained from library ICT
section.

- Training
- One staff, Ms Hetty Gideon, attended technical
training (DATAD- ToT) workshop on May 14-15, 2008
in Addis Ababa, Ethiopia. - Focus of the training was on how to use and
manage EndNote program. - EndNote cd and user manual were given to member
institution during the training

- EndNote software
- EndNote software was installed on May 2008 to
replace Procite. - So far we have managed to submit 229 abstracts to
DATAD using EndNote. - Policy issue
- UDSM Intellectual Property Policy (1st edition)
is in place. (Launched in Jan 7, 2009)
5INSTITUTIONAL REPOSITORIES AT UDSM
- Three main initiatives
- University Research Repository (URERE)
- UDSM Library Institutional Repository
- Digitization of the East Africana Rare and
Archival collection
6University Research Repository (URERE)
- Launched in January 7, 2009.
- Designed, hosted and managed by University
Computing Center (UCC) for UDSM Directorate of
Research and Publication. - Use EasyDoc software, which is a web-based
document management program, written in PHP and
use MySQL. - It features file expiration, departmental access
control, file moderation, fine grained user
access control, email notification and search
functions.
7University Research Repository (URERE)
- Individuals can directly upload/ submit their
articles to URERE. - The basic question here is moderation, i.e. there
is no clear moderation mechanism. - User can access URERE via UDSM website.
- To access it one need to register online by
creating user name and password.
8University Research Repository (URERE)
- URERE provide full-text access to
- Administrative documents i.e. UDSM plans,
policies, reports, speeches etc. - Research reports and articles
9UDSM Library IR
- This IR is in its initial stage of
implementation. - Collaboration effort UDSM Library and INASP
- Received small grant from INASP ( 10,000/-) to
cover needs assessment, stakeholders workshop
and technical support activities. - Now preparing needs assessment report

- It will use DSpace software (Configuration
activities on going) - It will be hosted at UDSM Library server
- It will be integrated into the library website
(on going) - Materials to be included and approach in terms of
submission, moderation, access and use will be
determined through needs assessment and
stakeholders workshop.
11The digitization of the East Africana Rare and
Archival Research Collection
- This is a sub-component of a larger on-going
project known as The Revitalization of the UDSM
Library to Support Research, Teaching and
Learning Processes. - It is a two years project (2008-2010) with a
total sum of 350,000/- funded by NORAD.
12EAF Digitization
- Funding
- EAF digitization component funding will be about
65,000/- - Goal
- The EAF digitization is intended to enhance
access and improve preservation. - Implementation
- The implementation of this component is scheduled
to begin in June 2009.
13EAF Digitization activities
- Selection of texts and possibly audio materials
from the existing archives for the digitization
project - Acquisition of digitization equipment
- Setting up a Digital Scanning Unit
- Training UDSM Library staff in digital text
scanning and archiving (on-site) - Scanning and digitization of documents
14EAF Digitization expected output
- Trained UDSM library staff with skills in digital
text scanning and archiving who will ensure the
sustainability of digitization work in the
Library - A searchable electronic/digital archive of
primary and secondary resources on Tanzania and
East Africa in place - A fully fledged website with an archive of files
on the Internet on the Server of the UDSM
Library.

- Hans Corry papers (about 450 items)
- Colonial records
- Maps (including old Germany colonial maps)
- Research reports
- Thesis and dissertations

- Out of print books and pamphlets
- Selections from the Fosbroke Archive
- Swahili /Arabic manuscripts, including selections
from the private papers of Shaaban Robert and
other renowned Tanzanian poets and writers - Out-of-print books, pamphlets and other ephemera,
newspapers, Swahili writings in Arabic script
from the 19th century or earlier, etc.
