  • Databases

What is required?
  • To gain a pass
  • Enter, edit and delete data
  • Create and use at least one simple query
  • To gain a merit or distinction
  • Use the sort function on at least on field
  • Create a report to print out data for a specific
    need
  • For a distinction you will create two queries and
    two reports in different formats

Key terms
  • Database used to store large amounts of data
  • Microsoft Access a software application used to
    create a database
  • Field a column heading in the database table
  • Sort allows you to sort the data in a specific
    order eg by surname
  • Query used to find information based on
    specific criteria (eg. People living in York)
  • Report used to present the data in a format
    suitable for printing or viewing on screen

Where to find the worksheets
  • WDrive/ICT/OCR Nationals/Unit 1/AO6
  • You will see two documents
  • Copy and paste them into your own My Documents
    Unit 1 AO6 folder
  • You MUST use this copy of the tunes database to
    carry out the task

Passing AO6
  • You need to complete Task 1 to gain a Pass
  • Step 1. Open the Tunes database (the copy you
    have saved in your own My Documents folder)
  • Step 2. Click on the Table called Customers
  • Step 3. Click on the bottom row to create a new
    record and fill in the details shown on the task
    sheet
  • Step 4. To delete the record select it and then
    click delete
  • Step 5. Click on Park and change it to Forrest
  • Take a screen shot to show the changes you have
    made

Creating a query 1
  • Step1. Click on queries followed by Create query
    in design view
  • Select customers and click add to put the
    Customers table into the Query
  • Double click on each field listed and they will
    appear in the table below

Creating a query 2
  • Step 2. Write Leeds in the criteria cell under
    the field name Address3
  • Click the Run button on the toolbar
  • You should now have a list showing only the
    people from Leeds
  • Print screen and then save the query as Leeds
  • Also take a screenshot of the design view of the
    query
  • This icon switches between design view and the
    data output view

Gaining a merit or distinction
  • For this you will need to complete Task two
  • A presentation will be given next lesson but can
    be found on the W drive if you reach that stage
    early
