3Changing your password
- You should change your Banner Client password
regularly for security purposes. - Remember that key transactions are date and time
stamped with your user ID. - It is your responsibility, therefore, to maintain
password confidentiality and ensure it is not
used by other Banner users.
4- After logging into Banner, go to the form GUAPSWD
(Oracle Password Change Form) and do the
following
5Searching for Students
- The search facility is available from most forms
via the search button next to the ID field - Click on the search button to begin the search
6Searching via Date of Birth !
- Please note that this search form is only
available via SPAIDEN. - When clicking on the search button in the key
block you will be given three options.
7Addresses
- Permanent, Mailing, Term Time and Financial
Addresses are stored in SPAIDEN. - Emergency contact information and addresses are
stored in SPAEMRG. - All UK addresses must be entered using a valid
Postcode.
8Emergency Contacts
- SPAEMRG allows the recording of information
submitted on the students Next of Kin form
during registration. This form allows the
addition of names and addresses of people to be
contacted in an emergency. These addresses can
be in addition to the persons own list of
addresses in the Identification Form (SPAIDEN).
9E-mail Addresses
- GOAEMAL is used for storing students e-mail
addresses. - The student e-mail address (UNST) is generated
after the student record has been created. - Students can also add one personal e-mail address
(PERS) via BannerWeb. - The University e-mail address (UNST) will always
be the preferred address.
10Telephone Numbers
- Extra telephone numbers can be recorded in
SPATELE without the need to be attached to an
address (such as a mobile phone or temporary
number). Any phone numbers already input in the
Identification Form (SPAIDEN) will automatically
feed into this form. - Students are able to add and update their
telephone numbers from BannerWeb.
11Applicant Data
- Students can apply via UCAS or Direct to the
University - All UK Undergraduate applicants should apply via
UCAS - All International and Postgraduate applicants
should apply direct to the University. - Any UK UG applicants who havent previously
applied through UCAS and decide that they want to
apply will apply direct through clearing.
12Main Application Details Form
- An Applicants record can be viewed using the UCAS
Main Applicant Details Form (SKAUMAD). The
record can be found by entering the Applicant ID
or by entering a Banner Student ID. - The Applicant ID for a UCAS applicant is their
UCAS number and the Applicant number for a direct
Applicant is a system generated number starting
with a D.

- All UCAS applicants are downloaded directly into
Banner. - UCAS applicants will show will a source of U
UCAS, G Graduate Teacher Training or N
Nursing and Midwifery - Admissions generate all Direct entry applicants.
- Direct applicants will show with a source of D
14Main Application Details Form
- If the student is a UCAS/GTTR/SWAS applicant they
may have a number of records on this screen. The
only ones that relate to applications at
Greenwich have an institution code of G70 and the
field is shaded in black. - The Mode of a student can be obtained from the
Supplemental Applicant Information Form (SKASAIN)
(2nd block).

16School Decision
- This is the decision the school makes as to
whether they will accept the applicant or not.
Valid options are - U Unconditional
- R Rejected
- W Withdrawn (applicant has withdrawn
application) - C Conditional (conditions have been made)
- I Interview (been invited for an interview)
17Applicant Decision
- This is the decision of the applicant after they
have been given the schools decision. Valid
options are - F Firm (accepted place)
- I Insurance (accepted place as insurance)
- D Declined
- Applicants can only have one Firm and one
Insurance place.
18Confirmation Decision
- This is entered once the A' level results have
been received. Valid options are - A Accepted
- R Rejected
19Final Response
- Once the A' level results are out UCAS send a
letter to the applicant to inform them that they
have met the conditions. The applicant then
returns a signed slip either accepting or
declining the place. Valid options are - A Accept
- D Decline
20STUDENT RECORD
- Once an applicant has been accepted (UFAA in
SKAUMAD) a general student record (SGASTDN) is
created for them. - A General Student Record in this form does not
mean that the student has completed registration
for the term specified. - A student can be registered for two programmes of
study at any one time. These are known as the
Primary and Secondary Curriculum.
21HOLDS
- Holds are added to a students record via SOAHOLD.
- These are put in place to ensure a student has
completed various tasks for registration and also
to stop the student using facilities when they
have a debt etc. - All new students will have a check-in (CN), fees
(FE), identification (ID), qualifications (QF)
and student union (SU) hold on their record.
22HOLDS
- If a hold is still active it will have a To Date
greater than todays date. Most will show with a
date of 31-DEC-2099. - Holds are removed by members of staff who have
seen the correct paperwork or information. - Holds are removed by overtyping the To Date as
todays date. - Some holds i.e. debt holds, can only be removed
by the user that added the hold. These are holds
where the Rel indicator is ticked.
23Student Course Registration
- Once a general student record (SGASTDN) record
has been created for a student a Student Course
Registration record needs to be created
(SFAREGS). - This form is used to define what courses the
student is studying. - This form also shows whether a student has
Withdrawn or Interrupted their study.
24SFAREGS
- The status field will tell you whether they are a
current student. Valid codes are
EL Eligible to Register (current student) I
Interrupt Study (should return in the
future) W Withdrawn X Did not arrive Z
Excluded
25Is a student registered?
- A student is classed a fully registered when
- A student record has been created
- AND
- All holds have been removed
26SWASMRY
- This form can be used to check a students
registration. Some of the information it
displays are
- Any holds still in force
- Registration status (SFAREGS)
- Programme of study (SGASTDN)
- Mode (SGASTDN)
- Library and Computing Access
27Student Progression - SHADEGR
- This form stores the progression records for
students. It is also the form where courses can
be applied to academic stages and where the
overall stage average can be calculated. - Each student can have a number of progress
decisions. Each progress decision is stored in a
degree seeking record. - There should be at least one degree seeking
record for each of the academic stages they have
undertaken.
28Student Progression
- A new record is automatically generated each
session when the students first grade is rolled
to academic history. The current record will
have a status of SO, sought. - Each degree seeking record can be viewed in this
form. Courses are applied to degree seeking
records so that an overall grade (GPA) can be
calculated. This overall GPA is then used at a
Progress and Award Board (PAB) to decide the
progress decision a student should be given.

- The address that shows on the Statement and
Receipt has a hierarchy as follows - It looks for an active MA address first, if one
doesnt exist it looks for an active TT address
and if that doesnt exist it looks for an active
PR address.
