  • Welcome to Go WEST Budget Development. Please
    logon.
  • If this is your first time to log on, your
    user ID is the number assigned to you on your
    paycheck. Your password is your birthday. The
    system will ask you to change this after you are
    logged on. You will have an opportunity at this
    time to create a question and answer in the event
    you forget your pin number.

  • This is the next screen you will see.
  • To get to Budget Development select Finance.

  • To View your current base budget Select Create
    Budget Development Query

  • Create or Retrieve a Budget Query
  • If you have not created and saved a query select
    Create Query

  • To create a budget query you must select the
    columns you want
  • to display on the report.

Column/Options for a Budget Development Query

  • 3. Enter your parameters
  • The chart of accounts (T), Budget ID, and Budget
    Phase are all required fields.
  • (The Budget ID and Phase are created by the
    Budget Office and we will provide you with this
    information).
  • Select the duration code to all budget for your
    current temporary and on-going base budget.
  • Check labor accounts and expenses to see all your
    expenditure lines. (If you are viewing a
    restricted fund include the revenue accounts.)
  • If you want to save this query create a name in
    the Save Query as box. (If you are not sure
    you want to save this query you can save it at
    the end.)
  • Submit.

Large budgets will have this button. Click on it
to view the next page of your budget.
  • Budget Development Query Sections
  • 1. Report ParametersThe parameters you entered
    on the previous screen are displayed in this
    area.
  • 2. Query Results The sections displays your
    budget by account code.

  • 3. Action Buttons This is the last
    section on the query screen.
  • Download All Ledger Columns -- With this button
    you can download all the budget line
  • columns to a spread sheet.
  • Download Selected Columns This button enables
    you to download the displayed columns to
  • a spreadsheet, excluding the cumulative change
    column.
  • If you have not saved your query and you wish to
    do so you can enter a name in the Save Query as
    box.
  • Select Another Query . (This will save your named
    query and/or return you to the Budget Development
    Query menu.)

  • You should now be at this screen again.
  • You can either create another query ,
  • Retrieve the query you saved,
  • Or
  • Return to the Budget Development Menu.

  • To change you current budget --Select Create a
    Budget Worksheet

  • Select either Create a New Worksheet query
  • or Retrieve Existing Worksheet Query.
  • If you do not have an existing query you must
    create one first.

  • If you are creating a new worksheet, choose
    the columns you want to display on the worksheet
    by selecting the appropriate check box(es). The
    base amount and current proposed amount are
    always included in the query results. Click
    continue

  • Worksheet parameters this screen
  • is similar to the parameters you set
  • for the budget development query.
  • (If you have multiple funds you need to
    prepare
  • each one separately. Enter the appropriate
  • fund number in the parameter box.)
  • You can save this query by entering a name in
    Save
  • Query as. If you want to share your query
    with
  • others that have access to you organization
    you need
  • to check the Shared box.
  • Submit

Note Be sure Budget Duration Code is set to
Permanent. If you wish to create a temporary
change please have it processed through the
Budget Office.

  • The parameters you entered are summarized in the
    top section of your budget worksheet.

If you want to increase or decease every line in
your budget, by the same amount, you can use the
Mass Change Parameters section. By entering a
dollar value or a percent (i.e. 12 12 and
check the Percent box) every line in your budget
will change by this value. (Be sure to have the
1.00 box check to round to the nearest one
dollar.) Calculate

Worksheet section In this section you can enter
the amount or percentage you want to increase or
decrease by account code (budget line). Enter
either the amount or percentage in the change
value box (If it is a percentage you must check
the percent box). If you want to delete the
budget in the account line check the delete box.
Then either press enter on your keyboard or go
down the screen to the calculate button. If you
just want to make budget changes by account to
see how your budget looks select the Calculate
button. To return to you original budget and
remove your changes select the Requery button.
If you want to save the changes you must select
the Post button.

The Change value will move to the Cumulative
Change box and the New Budget will change by the
value.

If the account you want budgeted does not exist
in your current budget you can add it in the New
Row section of the worksheet. Enter the program
code, account code, select Permanent Budget, and
enter the amount. Then select calculate or post
to add the budget line to your current budget.
If you do not know the account code or program
code you can look it up. Select Account/Program
Code lookup. A window will appear for you to
select Account or Program. You must enter a ,
at the least, in one of the Criteria boxes.
Execute Query.
These are view screen only. You must enter the
correct code manually.

  • To view your budget changes you calculated or
    posted, by account type, you can jump to the
    bottom of the page and see your new budget and
    the total amount changed. Please note the Net
    amount will reflect if you total budget have
    increased or decreased.

  • If you prefer to download your budget to work
    with before you enter your information on-line
    you can select one of the Download buttons.
    (Just be aware you will get all the columns you
    see on your screen and additional information
    from the Banner system that have no value to you
    in this process . Once the information is
    downloaded the Excel spreadsheet is not part of
    the budget process and you can change it as you
    need to.

  • If you have made all the changes you want to your
    budget
  • be sure to select the Post button.

To exit your worksheet go to the top or bottom of
the page and select the Budget Development menu.

  • If you are done creating your budget for Fiscal
    Year 2005-2006 you can return to the Finance menu
    and exit Go West.

  • Locking Organizations Budget
  • Select Maintain Organization Lock

  • Enter the Chart of Accounts (T)
  • Enter the Budget and Phase that
  • you were given to create you budget
  • worksheet.
  • Change current status to Lock.
  • Enter your organization code.
  • Submit.

  • This is the next screen you will see.
  • You can view this screen to see if your
    organization is locked or unlock.
  • If you need to unlock you budget or relock your
    budget select the Change Status box. Any one
    that has authorization to query your fund and/or
    organization and change your lock status.
  • Select Update to make the status change.

You will get this screen if you update. Select
Return to Parameters.

Now that your have completed locking your
organization you can exit Go West.
