Registration
  • PIs do not register on Grants.gov in order to
    submit a proposal. UGARF UGA are already
    registered with Grants.gov.

Getting Started
  • Start Early
  • Notify Sharron Thompson and Melissa Mottley
  • at least 30 days prior to submission
  • What Youll Need
  • Software - Pure Edge Viewer Adobe Acrobat
  • eRA Commons Account
  • Must be entered on application for PI and all
    co-PIs

Time Line
  • Budget
  • The budget should be completed long before the
    text is completed. Contact Sharron Thompson
    early in the process for assistance. Allow extra
    time if you plan to subcontract to other
    universities or if you will be a subcontract
    recipient.

Time Line
  • Transmittal Sheet
  • Once the budget and justification are complete,
    the transmittal sheet can be routed through
    appropriate departments and/or colleges. In most
    cases, it is not necessary to wait until the
    proposal is complete since few departments or
    colleges require a copy of the entire proposal.

  • IBR
  • All information must be provided to Sharron
    Thompson a minimum of two (2) business weeks
    before the due date of the proposal.
  • Sponsored Programs
  • All information must be provided to Melissa
    Mottley a minimum of five (5) business days
    before the due date of the proposal. Sponsored
    programs must submit the proposal to Grants.gov
    at least 48 hours in advance of the due date.

    the Abstract. Should be no more than two or three

NIH Transition to Grants.gov
  • PI must be registered with eRA Commons (contact
    AOR)
  • All PI personal profiles must be current and
    match information entered into Grants.gov
    application
  • May take up to forty-eight hours for NIH
    confirmation of registration

NIH Grants.gov Instructions
  • NIH suggests that you use the direct link to
    Grants.gov from the FOA (Funding Opportunity
    Announcement) on their website.
  • NIH will use several standard packages
  • The FOA will indicate which components are
    required and which are optional.

  • Click on the Announcement Number
  • Click on Apply for Grant Electronically
  • Click on Download (under Instructions
    Application)

NIH Grants.gov Instructions
  • Enter your email address in the space provided so
    that you receive any updates to the FOA
  • Click on Download Application Instructions
  • Click on Download Application Package
  • Enter your Application Filing Name PI last name
    and the first few words of the proposal title.
  • Complete the SF424 before you complete any other
    form. The information on this form will populate
    some of the other forms.

Proposal Preparation
  • Complete Application Package
  • CFDA Number or funding opportunity announcement
    number will set the required fields for
    Grants.gov application
  • Study instructions carefully. Required screens
    and fields will vary by federal agency based on
    FOA.
  • All files to be uploaded are to be non-fillable
    PDF

Subcontracts
  • Verify subcontract institution is registered in
    Grants.gov
  • The PI Emails subcontract budget form as an email
    attachment to the subcontract institution for
    them to complete
  • Subcontract institutions AOR must return
    completed budget in Pure Edge format to UGAs PI
    with a copy to the respective AOR (Melissa
    Mottley).

Proposal Submission
  • PI will email the proposal to Sharron Thompson
    for review. Sharron will email complete package
    to Melissa Mottley for submission
  • AOR (Melissa) receives approximately four emails
    confirming the various stages of proposal receipt
  • If there are errors in the submission, the PI
    will receive an email from NIH. It is the PIs
    responsibility to notify Sharron and Melissa of
    the error so that it can be corrected and
    resubmitted. Proposals with errors must be
    resubmitted or they will not be reviewed.

Helpful Hints
  • Text uploads must be non-fillable pdf
  • Dont create headers, footers, or page numbers
    for documents submitted to NIH
  • After submission, the eRA system will generate a
    Table of Contents, Assemble the grant image, and
    include headers (PI name) and footers (page
    numbers) on all pages

Helpful Hints
  • Introduction on R03 (resubmission) limited to one
    (1) page.
  • Budget Complete only one type (modular or
    detailed) on Grants.gov. UGA will still require
    a detailed budget justification for modular
    proposals, but do not include both on the
    Grants.gov application.
