OFFICE ETIQUETTE
  • Telephones-check with supervisor on how phones
    are to be answered.
  • IPODS, Instant Messenger and personal use of the
    Internet while working is not permitted.
  • Limit personal calls. Cell phones should be
    turned off.
  • Use common courtesy, please, thank you, etc.
  • Promptly respond to office visitors.
  • Dress appropriately for your work environment.

  • Standard Rate
  • 7.15 / hour
  • America Reads / Special Shift/Special Skill Rate
    7.90 / hour
  • Supervisory Rate 8.30 / hour
  • Other rates may apply for particular jobs.

HOW TO FIND A CAMPUS JOB
  • Annual Campus Job Fair
  • Thursday, September 4th
  • 1000 am 300 pm
  • Ballroom of Rossin Campus Center
  • Departments offices that are planning to hire
    students will be represented at the fair.
  • This will be your best opportunity to find a
    campus job!
  • Bring your fall class schedule so that you will
    have an idea of the days and hours you are
    available to work.
  • Positions that remain open after the Job Fair
    will be posted online at www.washjeff.edu/jobs.
    Students are responsible for contacting
    supervisors for interviews.
  • Dont delay preference is only given to work
    study students in the hiring process for the
    first 3-4 weeks of the semester.

IMPORTANT PAPERWORK
  • Student Work Authorization Form
  • Issued by Office of Financial Aid
  • Pick up your form in your campus mailbox before
    attending the Job Fair
  • This is proof of your work study eligibility
  • Your supervisor completes this form after you are
    hired. Send completed work authorization form to
    the Office of Financial Aid.
  • Your Master Timesheet will be sent to your
    supervisor directly.
  • You cannot work until you obtain a timesheet

HOW NOT TO GET PAID!
  • No W-4 form
  • No I-9 form with proper ID
  • NO TIME SHEET or submitted late!
  • NO EXCEPTIONS

YOUR RESPONSIBLITIES
  • Come to work on time.
  • Maintain required confidentiality.
  • Complete assignments on time and to the best of
    your ability.
  • If you are not going to be at work, call your
    supervisor with as much advance notice as
    possible.

FERPA- Family Educational Rights and Privacy Act
of 1974
  • Most information concerning a students academic
    record is considered confidential and may not be
    released without the student's permission.
  • Directory information including the following can
    be given name, address, dates of attendance,
    major, enrollment status, degree earned and date
    of graduation.
  • Parents may only be given information if they
    have the students FERPA password or if they
    claim the student on their taxes. (They must
    present most recent tax form before information
    is given.)
  • If you have any questions as to what information
    can be given, please contact your Supervisor
    before proceeding.

GRAMM-LEACH-BLILEY (GLB) ACT
  • The GLB requires financial institutions,
    including colleges and universities, to develop
    plans and establish policies to secure the
    security and confidentiality of student/employee
    financial information
  • Includes names, addresses, phone numbers, bank
    and credit card account numbers, income and
    credit histories, and Social Security numbers.
  • Applies to all methods of handling or disposing
    of nonpublic financial information, whether
    electronic, paper or other form.

GRAMM-LEACH-BLILEY (GLB) ACT
  • Public information (Directory information)
    names, addresses, phone numbers Okay to
    release.
  • Nonpublic information Bank and credit card
    account numbers, income and credit histories, and
    Social Security numbers.
  • What does this mean to me? Be careful when
    handling information and dont release any
    nonpublic information.

CONFIDENTIALITY
  • You may have access to confidential information,
    such as grades, financial information etc.
  • Giving away this information can have serious
    consequences for you including discipline,
    dismissal from the school, and could make
    you/your parents liable to be sued.
  • Your Supervisor may require you to sign the
    Statement of Understanding of Privacy Act
    Provisions. This form is to be returned to your
    Supervisor.

COMPUTER USE
  • As an employee, you may have access to College
    computers and software programs such as Datatel.
  • Giving away your password, or using the
    information available is grounds for dismissal
    from your position, and the College would take
    further action through the student discipline
    procedure.

PAYROLL FORMS
  • I-9 Form Verifies eligibility to work in the
    USA.
  • Complete section 1 only
  • US Passport or
  • Proper Visa or
  • Picture ID (Drivers License or Student ID)
  • and
  • Social Security Card or Birth Certificate
  • You will fill out the top portion of the Blue I-9
    in your packet and return
  • it with your IDs to the Payroll Office on the
    second floor of Thompson
  • Hall.
  • Form can be found on Payroll website.

PAYROLL FORMS
  • Complete Form W-4 so that your employer can
    withhold the correct federal income tax from your
    pay.
  • Please fill out the bottom portion of the W-4 in
    your packet and return it to the Payroll Office
    on the second floor of Thompson Hall.
  • Form can be found on Payroll website.

  • If you do not have the proper forms of ID with
    you on campus
  • Have a parent fax the information to our secure

DIRECT DEPOSIT
  • For those who would like to take advantage of
    this benefit
  • Please fill out the Authorization Agreement for
    Direct Deposit and attach a voided check or
    deposit slip.
  • Form can be found on Payroll website

PAYROLL FORMS
  • Payroll Forms MUST be completed before you can
    work!
  • Must complete W-4 tax form and I-9 and show
    proper identification.
  • Forms must be returned to Payroll/HR Located on
    2nd and 3rd floors of Thompson Hall.

PAYROLL TIMESHEETS
  • Must complete a timesheet each pay period.
  • Timesheets are due on the 1st and the 16th of the
    month by 300 pm.
  • Exceptions will occur due to holidays. Please
    refer to the student payroll schedule.

PAYCHECKS
  • Issued the 15th and the last working day of the
    month.
  • Pay checks will be sent to the Campus Mailroom
    during the first and second semester.
  • Pay checks will be sent to home address when
    regular classes are not in session. Please
    contact the Payroll Office if other arrangements
    need to be made.
  • Checks can be cashed at the Bookstore and
    Business Office with Student ID.

SEXUAL HARASSMENT
  • Inappropriate sexual conduct will not be
    tolerated and may constitute sexual harassment.
  • Sexual harassment is defined as unwelcome sexual
    advances, requests for sexual favors, and/or
    other inappropriate verbal, written, or physical
    conduct of a sexual nature
  • Please report any concerns to the Student Affairs
    Department.

OTHER TOPICS
  • Work related Injuries Report injury/accident to
    your supervisor IMMEDIATELY.
  • Emergency Procedures 6032 or 911 from a campus
    phone Protection Services phone number - call
    to report any accident, injury, fire, etc.....
  • In the event of a real or perceived emergency get
    yourself to safety, then call security.
