This module is a series of slide with graphic
effects, visual and written instructions.
  • To move through the slides simply press the

Fuel Management Program

In August the American Red Cross will begin
issuing and using a different type of fuel
credit card as part of a new fuel management
system. The fuel cards will be assigned to the
vehicle and not to the driver, the fuel card
will be attached to each vehicles key ring. The
company that offers this fleet fuel card is
called Wright Express (WEX). In selecting a
fleet fuel card for the ARC there were two goals
we wanted to satisfy in order to make this kind
of change 1. The system had to be easy to
use in the field, providing more flexibility and
convenience for the driver. 2. Improve
maintenance fuel tracking for all ARC vehicles,
improving reliability for the driver. This
system, Wright Express (WEX) we feel will
accomplish these goals.

Where can I use the WEX fuel card?
The oil companies displayed here are just a few
of the major brands accepted by WEX
WEX is the most widely accepted and used Fleet
Fuel card in the country. It is primary intended
to be used at major brand gas stations where Pay
at the Pump features are available. Please use
only Pay at the Pump gas stations to prevent
complications.

The Fuel Card is for the purchase of gasoline or
diesel only. All other purchases are prohibited
by Policy.
The fuel card is attached to a specific vehicle.
Each vehicle will have a plastic pouch attached
to its key ring with a WEX fuel card located in
the pouch. If a card is missing from the vehicle
pouch never borrow or use another vehicles WEX
fuel card - Contact the ARC Fleet Line (toll
Free) 1-877-263-7339

The pouch, card and a Drivers Guide will be
attached to the vehicle key ring.

Lets STOP a moment and look at a couple of
points concerning ARC vehicle policy!

With the exception of vehicles that use diesel
all other ARC vehicle that require gasoline. . .
Only 87 octane gasoline is authorized for
purchase.
There are no exceptions for ARC vehicle that use
gasoline fuel.

When am I to refuel the ARC vehicle I use?
Two Points 1) Gasoline vehicles must be
refueled anytime the vehicles gas gauge
indicated 1/2 tank or less 2) Diesel vehicles
have a different requirement due to fuel
contamination - diesel vehicles must be refueled
after every use to ensure the tank is topped off.
This will reduce the chance of water
condensation build-up and the potential for algae
growth in the vehicle fuel system.

How does the WEX fuel card work?
Its very simple and fast...

Step 1 - Each vehicle will have a plastic pouch
attached to its key ring with a WEX fuel card in
it. The card is assigned to the vehicle and not
to the driver. Each ARC driver will be assigned
a PIN number to use with any vehicle he or she is
authorized to operate. The PIN number will allow
the driver to purchase fuel for the vehicle he or
she is operating.

Step 2 - The driver when purchasing fuel for the
vehicle he/she operates must read the vehicle
odometer. You will need this information. When
reading the odometer read only the whole miles
and not the tenth of a mile.

Step 3 - The driver will remove the WEX card from
the pouch on the vehicles key ring and insert
the card in the pump as indicated below.

Step 4 - The pump display will ask for the
vehicle odometer reading. REMEMBER, enter only
the whole miles and no tenths of a mile. i.e. -
if the odometer on the vehicle indicates -
23,567.5 Enter only 23,567 then press the enter
key.

Closer look - If you make a mistake it is easy to
correct. Just press the CLEAR key on the pump
panel.

Step 4 - (continued) After you have entered the
odometer reading (no tenths) and you are sure you
have entered it correctly now just press the
ENTER key.

Step 5 - Now the pump display will instruct you
to enter your Driver PIN or Driver Number. This
is a confidential four (4) digit number that will
authorize you purchase fuel with and ARC WEX fuel
card. Enter the number on the pump key pad and
press ENTER

Step 6 - Authorization for the purchase may take
a few seconds and then the pump display will
instruct you to select the fuel grade and you can
begin refueling your vehicle.

Step 7 - When you finish refueling your vehicle
the display may ask you if you want a receipt.
Just select NO. We do not use the printed
receipts and if the pump prints the receipt just
destroy the receipt and discard it.

Helpful Hints...
  • Vehicles now days have many environmental
    controls built into the vehicle engine controls
    and fuel subsystems
  • When filling the vehicles fuel tank, many
    times you can hear it fill and of coarse the fuel
    nozzle will shut off, do not continue to add fuel
    after the nozzle shuts off (called packing the
    tank). This has the potential of damaging the
    vapor recover system in the vehicle and could
    cause the vehicle to perform poorly.
  • Be sure that the gas cap is securely fastened.
    If not securely fastened or if damaged, the
    vehicles Service Engine Soon warming on the
    dash may come on.

Lets talk about when things dont go right...
I scan my WEX card and the display says see
attendant
  • Several possibilities maybe happening here
  • The magnetic strip on the WEX card may not be
    readable -
  • Have the gas station attendant to call
    the 800 customer line listed on the Drivers
  • Guide to get a verbal authorization.
  • Some gas stations have an older gas computer
    system and the Pay at the Pump feature
  • does not accept Driver numbers or odometers.
  • Make sure that the gas station will
    take the WEX card by asking the attendant. If so
  • you will be able to fuel and the give
    the WEX card to the attendant to process the
  • purchase. The attendant will require
    you to enter your PIN and odometer reading as
  • illustrated below
  • The gas station may
  • not take a WEX card.
  • Solution, go to any
  • other gas station.

The WEX system is easy, convenient, and versatile
for a ARC mobile fleet operation. Below are a
few pointers you should keep in mind...
If you are assigned a vehicle and the WEX card is
missing, do not use the vehicle, contact your
supervisor immediately. If you have had problems
using the WEX card contact the ARC Fleet Line _at_
1-877-263-7339 (toll free). If you discover you
have left the WEX card at a gas station contact
the Fleet line ASAP. Never share your Driver PIN
with anyone, to do so may result in loss of your
driving privileges of ARC vehicles. Never swap or
borrow another vehicles WEX card with another
vehicle. The WEX card is for ARC vehicle only,
fuel purchases. In order to have a well
maintained fleet the odometer reading must be
true and accurate. The ARC Fleet Team is
committed to ensuring you the ARC driver a safe,
well maintained and reliable vehicle.
