North Texas SBDC Reporting Guidelines
Procedures
October 1, 2004 through September 30, 2005

NTSBDC MIS Reporting
The Region Office sends emails to centers who
have discrepancies in the database. Please make
changes prior to the next download. All NTSBDCs
must export their data monthly, this is strictly
an electronic process therefore, reports are only
to be sent quarterly. If, due to a missed
deadline it is determined that your center caused
the NTSBDC to run the merge again, the region
will bill your center the 150.00 charge to
remerge the data for the NTSBDC
Region. Narrative reports submitted late to the
Region Office without prior notification to the
MIS Director will not be included in the regions
compilation to SBA. Client economic impact data
must be entered into the WinCATS Database for
reporting purposes. Information transfers must
be reported to the region office quarterly.
Emails from each center will be the method of
transmission for this report.

How Do I Send A SuperCATS Export in WinCATS?
In WinCATS go to Tools, choose the SuperCATS
Export Option. A box will appear on your screen
asking for dates for the Reporting Period.
Always begin with 10/1/1995 until notified by the
NTSBDC Regional Director or MIS Director. The
end date will be the end of the previous month
(for monthly downloading purposes) or the end of
the quarter (for quarterly reporting).
Include contacts/attendee and mailing lists and
include all clients options. The database will
default to checked boxes. Please make sure they
remain checked prior to the download.
The last section of the box will automatically
default to Export to Softshare Vista. Select OK.
The system will begin to compact and compress
your data.

Sending your SuperCATS Export
The box pictured below will appear. Select OK.
Note This operation does not mean your
SuperCATS has been sent to Softshare. You have
two more steps and your download will be complete.
In WinCATS go to Tools, Softshare Vista, you will
be placed in your Vista Communications Software.

Vistas SuperCATS Export
Instructions
From Vista go to your Outgoing Mail, you will see
your catsexport with todays date and time. Make
sure a green check is next to catsdata this means
your data is ready to be sent. If you see a red x
you will need to go back to WinCATS, Tools and
SuperCATS Export do compact and compress your
data again.
Once you download go back up to Communicate and
perform a Send and Receive again. You should get
back a message in your New Mail stating your
SuperCATS has reached Softshare and does not
contain any errors.

December
2004
Friday, January 14, 2005 (Downloading) - Each
center will download their MIS data via WinCATS.
Downloading dates are 10/1/1995 through
12/31/2004. Friday, January 14, 2005
(Worksheets) - When printing MIS Worksheets
CURRENT (REPORTING) PERIOD 10/1/2004
-12/31/2004. First Quarter Only, the dates for
CUMULATIVE PERIOD ARE THE SAME 10/1/2005
-12/31/2005. Centers should mail their signed MIS
Reports by January 12, 2005 to the Region Office,
Attention of Katrina Wade-Miller. Friday,
January 14, 2005 (Information Transfers) Please
send your first quarter information transfers via
email to K.Wade-Miller_at_dcccd.edu.

Second Quarter Reports January, February
March 2004-2005
Friday, April 15, 2005 (Downloading) -
Downloading dates are 10/1/1995 through
3/31/2005. Friday, April 15, 2005 (Worksheets) -
When printing MIS Worksheets CURRENT (REPORTING)
PERIOD 1/1/2005 - 3/31/2005. CUMULATIVE PERIOD
10/1/2004 - 3/31/2005. Centers should have their
MIS Reports in the mail by April 15, 2005. The
MIS (Worksheets) Reports must be signed by the
SBDC Director and sent to the Region
Office. Friday, April 15, 2005 (Information
Transfers) Please send your second quarter
information transfers via email to
K.Wade-Miller_at_dcccd.edu. Friday, April 15, 2005
(Semi-annual Narrative Report) - Semi-annual
Narratives (first and second quarters) are due to
the region office no later than 15 April 2005.
All narratives must be emailed to
K.Wade-Miller_at_dcccd.edu. Reports turned in later
than 15 April without prior notification to the
MIS Director will not be accepted. Each center
must submit one signed copy of their narrative
report to the region to the region office for
audit purposes.

Third Quarter Reports April, May and
June 2004-2005
Friday, July 15, 2005 (Downloading) - Each center
will download their MIS data, downloading dates
are 10/1/1995 through 6/30/2005. Friday, July
15, 2005 (Worksheets) - When printing MIS
Worksheets CURRENT (REPORTING) PERIOD 4/1/2005
- 6/30/2005. CUMULATIVE PERIOD 10/1/2004 -
6/30/2005. Centers should have their MIS
Reports in the mail by July 15, 2005. The MIS
(Worksheets) Reports must be signed by the SBDC
Director and sent to the Region Office, Attention
of Katrina R. Wade-Miller, MIS Director. Friday,
July 15, 2005 (Information Transfers) Please
send your third quarter information transfers via
email to K.Wade-Miller_at_dcccd.edu.

Fourth Quarter Reports July, August and
September 2004-2005
Friday, October 14, 2005 (Downloading) -
Downloading dates are 10/1/1995 through
9/30/2005. Friday, October 14, 2005 (Worksheets)
- When printing MIS Worksheets CURRENT
(REPORTING) PERIOD 7/1/2005-9/30/2005.
CUMULATIVE PERIOD 10/1/2004 - 9/30/2005.
Centers should have their MIS Reports in the mail
by October 15, 2005. Friday, October 14,
2005(Information Transfers) Please send your
fourth quarter information transfers via email to
K.Wade-Miller_at_dcccd.edu. Friday, November 4,
2005 (Annual Narrative Report) - The Annual
Narrative (third and fourth quarters only) are
due to the region office no later than Friday, 5
November 2005. All narratives must be emailed to
K.Wade-Miller_at_dcccd.edu. Reports turned in later
than 5 November without prior notification to the
MIS Director will not be accepted. Each center
must submit one signed copy of their narrative
report to the region office for audit purposes.

Economic Impact Download November 15,
2005 2004-2005
Tuesday, November 15, 2005 (Downloading) -
Economic impact downloading dates are 10/1/1995
through 10/31/2005. Economic Impact Data
consists of the following Jobs Created, Jobs
Retained, Sales, SBA Loans, Non SBA Loans, Non
Debt Financing, State Taxes and Federal Taxes.
When you download your data in November the
Region Office will receive your economic impact
data that has been entered for clients in FY
2004-2005. Each center will receive final results
for economic impact validation.
