Visitor Completes VIA Agreement

Staff Checks ID andCompletes VIA Agreement
  • Verify that the photo on the ID matches the
    visitor
  • Verity that the name and address on the form
    matches the ID
  • Verify that the agreement has been signed
  • Fill out the For Staff Use section of the
    agreement
  • Record your name after ID verified by
  • Check the type of ID used
  • Record date and time
  • Check the VIA computer to be used (Jones Lib.
    only)
  • Check the VIA account to be used

About User Namesand Passwords
  • VIA user names and passwords will only work on
    VIA computers.
  • While the jlib_guest accounts will work on all
    three VIA computers please use the account that
    matches the computer number (e.g. jlib_guest1
    with VIA computer 1).
  • Do not give the the password to the visitor. It
    is the staff members responsibility to log the
    visitor onto the system.
  • Passwords are kept on cards in the key box
  • Passwords will change every 30 days

Log Visitor onto VIA Computer
  • Pull the appropriate password card from the key
    box (or, preferably, memorize the months
    password for each machine)
  • Walk the visitor to the VIA computer
  • Point to the Visitor Printing Guide on the wall
  • Enter the user name and password
  • Inform the visitor of the 5 minute lock
  • If the computer is inactive for 5 minutes, it
    will lock and require staff assistance to unlock
    it. When reading a long document, the visitor
    can prevent locking by nudging the mouse
    occasionally.

File the Agreement
  • After logging the visitor onto the VIA
    workstation and returning to the service desk,
    place the completed VIA Agreement in the VIA
    lockbox.

Questions
  • Will guests have full Internet access?
  • Yes. They will be able to go to any websites
    that Baylor clients can access.
  • Who gets priority Baylor clients or visitors?
  • Visitors will have priority on the handful of VIA
    machines. If all VIA workstations are in use by
    Baylor clients when a visitor arrives, staff
    members will ask one of the Baylor clients to
    relocate. In the unlikely event that all
    workstations in the area are in use, the staff
    member should make an effort to assist the Baylor
    client with locating a free computer, either by
    opening Jones 105, if available, or checking with
    other locations in the library.
  • Is wireless access available?
  • No. GIA is only provided on specific,
    library-owned desktop computers. We do have a
    link to a map of locations in Waco that offer
    wireless access. From the library homepage go to
    About Us Visitor Info and scroll down to the
    Internet access section. Click on the local
    businesses link (http//maps.google.com/maps?qw
    ifiwaco).
  • Print off a copy of the Visitor Info page if that
    is helpful to the client

Questions
  • Will we continue to have libraryguest access
    accounts on all workstations in the Central
    Libraries?
  • Yes. This service provides access to most
    resources that visiting researchers need and
    reduces the need for VIA accounts. The new
    pay-as-you-go visitor printing will extend the
    capabilities of the libraryguest accounts to
    include printing.
  • Is there an age limit?
  • Yes and no. Minors may use the VIA computers,
    but only if accompanied by someone 18 or older
    who completes the VIA User Agreement.
  • What happens with the VIA Agreements?
  • The Assistant Director for Client Services will
    collect the documents from the lockbox on a
    periodic basis and deliver them to the
    Coordinator of ITS Security. The agreements will
    be retained for one year and then shredded.
  • Who maintains the password cards?
  • The Assistant Director for Client Services will
    maintain the password cards in the key box.
    Please notify the AD if a card is lost/missing.
