- There are now TWO versions of the SF424
- Use Version 1 - Any FOAs posted before 6/15/06
- Use Version 2 - Any FOAs noting Version-2-Forms
in Competition ID field - Note Version 2 forms were recently expanded to
allow for the collection of 40 senior/key
persons. This expanded version is now called

17What is the Definition of Person Months?
- A metric for expressing the effort (amount of
time) that PIs, faculty and other senior/key
personnel devote to a specific project. Effort is
expressed as a percentage of the total
institutional appointment and is based on the
organizations regular academic-year, summer or
calendar-year. - However, PI effort as a percent of total
professional effort cannot exceed 100. - Bottom Line It is expressing of Effort as
time.
18Calculating Person Months
- Faculty member with 12-month appt. wants to put
40 effort on a grant. - Formula Base appt X of Effort on Grant
- 12 mos. X 40 4.8 person mos.
19So What About Split Appointments?!
- For joint appointments involving the VA and/or
other affiliated hospital - Calculate based on the University appointment in
the budget. - Use only dollars paid by the Medical School in
base salary (do not include dollars paid by
hospital) - Provide a detailed budget justification
explaining the split appointment and effort on
the grant - Other Support show effort of Medical School
appointment and a conversion of effort based upon
total professional effort explaining that it is a
dual appointment.
20Background on Joint Appts (per NIH)
- Special Instructions Joint University and
Department of Veterans Affairs (V.A.)
Appointments - Individuals with joint university and V.A.
appointments may request the universitys share
of their salary in proportion to the effort
devoted to the research project. The individuals
salary with the university determines the base
for computing that request. Signature by the
institutional official on the application
certifies that (1) the individual is applying as
part of a joint appointment specified by a formal
Memorandum of Understanding between the
university and the V.A. and (2) there is no
possibility of dual compensation for the same
work, or of an actual or apparent conflict of
interest regarding such work. Additional
information may be requested by the awarding
components.
21Budget Justification for Split Appts.
- Dr. X will be responsible for the overall project
and will perform Y duties. Dr. Xs percentage
of effort is calculated based upon her split
appointment with the VA. Out of her total
professional effort, .33 (20 hours) is funded by
Harvard Medical School and .67 (40 hours) is
funded by the VA. She will devote 40 (4.8
calendar mo) of her HMS appointment to this
project which equates to 13 (1.56 calendar mo)
of her total professional effort.

electronically - Missed deadlines no guarantee of on-time
submission

- XFD files will become too large to email
- Must find a way to transport files between each
other (Shared drives? Jump drives? Servers?) - To get file to SPA, use Grants.gov dropbox on the
HMS eCommons SPA site. Allow me to demonstrate
39eRA Commons Verification Changes
- NIH/AHRQ no longer requires the verification of
the grant application by the AOR/SO and PD/PI.
The verification step has been replaced with a
two business day period for checking the
assembled application in NIH eRA Commons, after
which the submission process will be complete and
the application will automatically move forward
to the Division of Receipt and Referral, Center
for Scientific Review. Within the two day
period, the AOR/SO will have the ability to
Reject the application and stop further
processing. PD/PIs must work through the AOR/SO
to Reject an application.
