- The FACTS Email module provides the FACTS user
with the capability of sending emails of FACTS
reports or documents directly from the FACTS
print routine. The document automatically
becomes an attachment to the email. - Emailing from your computer is as easy as
printing a report to a printer. The email device
is treated as a system printer. When the Email
option is selected as the output device, the
system will display the default user information
and prompt for the recipient information on the
Email Information Entry screen. The Email can be
sent and/or copied to up to 9999 recipients. The
printout is stored in a temporary file and then
attached to an email with all the recipient email
addresses included. - The documents that are attached are in the form
of a text (.txt) file. However, with the
addition of the UnForm module for FACTS, it is
possible for the attachment to be an Adobe
Acrobat (.pdf) type file. Adobe Acrobat files
contain all of the UnForm enhancements so they
look just like the form printed on a laser
printer.

- There is also an Auto Email function built in.
Certain programs (Purchase Orders, Invoices, Past
Invoices, Return Authorizations, etc.) can
automatically check when printing a document to
see if there are any Email addresses on file that
would normally receive that particular form for
that customer/vendor. If so, it can
automatically select the proper email addresses,
add a subject line consisting of the document
type and number, and automatically send the email
without any further user intervention. - FACTS Email will operate on FACTS 6.6, 7.0 and
7.1. On UNIX and NT systems and on dumb
terminals as well as PCs. However, the FACTS
system must have TCP/IP networking setup and be
able to communicate with the SMTP email server.
The email server may be in-house or hosted by an
Internet Service Provider.

Any report or form in FACTS can be Emailed.
Click on Order Status Report.

Select the printer to send the report to. Click
on Print Options

Access the drop down list of available
printers. Click on the down arrow button.

Select the Email Printer. Click on OK.

The Email Entry screen appears. The User, From
Email Address and Attachment Format defaults in.
These values can be changed. Click on PDF to
continue.

Multiple Email Addresses may be entered. Each
one is identified as a To, CC or BCC type
of address. Click on To to continue.

Enter the Email Addresses next. There is a
search available. Click the binoculars to open a
search window.

Searching is available by Customer, Vendor,
Company Name, Email Address or Contact Name
Select the Email Addresses you want to send
to. Click OK to continue.

Addresses can be To, CC, or BCC Types.
Detailed message text can be added to the
Email. Click the Message button to add a
message.

Enter your message. Click End to finish the
message entry.

When you are ready, click Send to send the
message.

The Email gets submitted to the Email Server and
is sent to the recipients.

The message is sent. Several seconds later at
the recipients PC, the following Email would
appear (go to next slide).

Inbox. Click on the message to view the detail.

Auto signature is automatically added by FACTS
Email.
The report or form can be sent as a Text TXT file
or an Adobe PDF file. Click on the attachment to
view the report.

The recipient views the report or form in Adobe
Acrobat for PDF files (or in Notepad/Wordpad for
TXT files)
