Title: Understanding MARC

1
Understanding MARC
  • for Reference Librarians

2
Understanding MARC
  • What is so special about MARC?
  • Basics of fixed and variable fields
  • Applications of the MARC record
  • Weird things in NC-PALS

3
Why do we need MARC?
  • MARC is a uniform language and structure
  • So records can be shared between libraries.
  • So library systems can develop even more, because
they only have to work with one format/language
    makes migration
  • to a new system much easier!!
  • (Yes, it could be worse.)

4
MARC is international
  • MARC21 is now the standard for English speaking
    countries.
  • Number are easy to be translated into multiple
    languages by the system.
  • 100 field can be labeled author or autor

5
What exactly does all that gibberish mean?

Fixed vs. variable fields
  • A field is a piece of information some are fixed
in size and some are variable in size
  • Langeng

    friends with chaos.

15
Fixed Fields
  • Usually display at the top of the record.
  • Can be blank.
  • Sometimes have alphabetic labels, sometimes you
    have to translate.
  • Some are leader fixed fields
  • Others are fixed length data fields.

Fixed data
  • Fixed length data can include dates, place of
    publication, language and record status.
  • For books/monographs, includes illustration
status, intended audience, nature of contents,
    government publication, conference publication,
    festschrift, indexed, literary form,

25
Weird things in NC-PALS
  • Private fields vs Public fields
  • Things catalogers need to survive
  • Other shared catalog issues

26
Private fields vs Public fields
  • Public fields
  • Those that could have meaning for our patrons
  • Private fields
  • Those that do have meaning for librarians, if it
    is only the catalogers

27
Private fields in NC-PALS 9XX
  • Each school has its own private fields
  • Other libraries may see them, but only that
library is permitted to add or change them
  • Call numbers
  • Retention notes
  • Collection information
  • Acquisition notes including gifts

28
Distribution of private fields
  • 910-919 Guilford (093-095 call s)
  • 920-939 Elon (086, 091 call s)
  • 940-949 Bennett
  • 950-959 Salem
  • 970-979 Greensboro
  • 980-989 were used by High Point
  • Except those the Library of Congress later gave
    specific designations to - 936, 938, 984, 987
    994.

29
Guilfords Private fields
  • 093 DLC call numbers copy of 050
  • 094 non-DLC call numbers copy of 090 or
    locally edited or created
  • 095 Periodical call numbers
  • 911 Retention notes
  • How long do we keep annuals in Reference, and
what do we do to them after Reference.
  • 913 Acquisition notes
  • If it is a gift, given by whom and when?

30
Private fields that must be indexed
  • Call numbers (093-095, 086, 091, 941- 942,
    950-952, 971-974)
  • Most of the others are not indexed

31
Things catalogers need to survive
  • We must keep our local/private fields
  • Searching in some note fields and all 7XXs.
  • Do not index 650 2, 650 3, 650 5, 650 6, 650 4
    653
  • These are uncontrolled, medical and foreign
subject headings that might have been left in the
    record

32
Other shared catalog issues
  • Some institution specific information we might
want in public display is limited (at least in
    DRA Classic)
  • One record will have many institutions holdings
    with their own private fields
  • We must increase and maintain the quality of each
record, and quality cataloging takes time!!

33
Which ones are ours???
  • Most bibliographic records will have order
information or item holdings records which
    display in Web2
  • if not . . .
  • Use the MARC display option in Web2 to look at
the bib record in MARC. Each record should have
an 049 field for each institution using that
    record

34
Our 049 names
  • Salem NSC
  • Elon NEO
  • Guilford NUG
  • Bennett BEN
  • Greensboro KQX
  • Same as OCLC holdings used for ILL
