Good Rules to Follow
  • Call the person by name.
  • Tell what your letter is about in the first
    paragraph.
  • Be honest
  • Be clear and specific
  • Use correct English
  • Be positive and natural
  • Edit, edit, edit!!!

General Information
  • Letterhead- use if available. If not type a
    company, or your name and address across the top
    of the page.
  • Date- Put the date in the left margin under the
    letterhead.
  • Inside address- direct your letter to a specific
    person. Be accurate in spelling the name and
    address.
  • Subject line- optional place at the left
    margin, be short and concise.
  • Salutation- Use first name only if you personally
    know the person. Otherwise use a generalized
    salutation.
  • Closing- Sincerely, or Sincerely Yours is
    appropriate unless you know the person personally
    the Best Regards is acceptable.
  • Name Lines- Type your full name and title below
    your signature.
  • Second page- head second page with three lines of
    information the name of the person or company
    the letter is addressed, the number 2 or page 2
    and the date. Place the information on three
    lines at the top margin or on one line across the
    top of the page.
