Providers
- Transcribed scanned documents can be signed,
refused or modified. - Approval of verbal, telephone and Medical Student
orders - To modify the order the provider must open the
patient chart, which is available via direct link
from Message Center. - Receive notification of Documents to Dictate
from HIM.

- Communication between providers and HIM Managers,
Department Assistants and Coders. (Complementing
Email and telephone communication.)

5InBox Summary
- Three Tabs
- Inbox the workhorse! This is where you will
refer most often - Currently, proxies and pools are of limited use.
6InBox Tab
- Display controls time range of visible items.
- Priority Items Currently not in use at Seton
- Numbers in parentheses represent unopened items
only. Items previously opened will not be
included in this number. - The default display is the last 30 days.
7Inbox Tab InBox Items
- Main categories
- Documents
- Messages
- Orders.
- Categories may appear in a different order in
different sessions. - Subcategory titles display only when items are
present (including previously opened items).
8Messages Window
Message window will display when Messages is
selected (clicked) from Inbox Items.

- Two toolbar sections
- Communicate Creates new message.
- List toolbar Allows action on current selected
message. (Open Reply, Forward, etc,,,) - The list toolbar is specific to the message type.

- Function the same as Email.
- Message Journal
- Phone book for patients
- Select Patient
- Display only the messages that are for the same
patient as the current message. - Select All
- Display all messages
- Notes
- The Message Journal is currently of limited use.
- The word Select is not used in the usual
manner. Here select means display.

A right-click of the mouse brings up an
alternative menu.
12Pop-up Menu Items not on Taskbar
Open Same as double-click. Opens Message. Set On
Hold - Do not use! Changes status of document in
Message Center but accomplishes no useful
task. Do not use! Open Patient Chart Opens
submenu to go directly to the patient chart (if
applicable). Duplicates current patient drop
down in PowerChart.
13Creating a New Message (Simple)
- Click on Communicate button.
- Choose Message from drop down list.
- New message window opens.
- Complete To, cc, and Subject fields just like
Email. (The binoculars open a search for a
recipient. - Not all providers have Message Center. It is
possible to choose a recipient that will never
receive the message!) - Type message.
- Click send.
14Additional Options for Messages
- High Priority
- Mark message with an exclamation point in the
recipients Inbox - Notify
- Request read receipt and follow-up date/time
for message.
- Associate Patient with Message
- Perform standard PowerChart search.
- Patient name, caller and phone number fields are
populated.

- Actions
- A check mark adds the associated text to the
message header.
- Remind on and Due on
- Provides visual reminders to recipient.
- Due on can also work with Notify to prompt sender
if recipient has not acted on message.

Double click on message or right-click and choose
Open.

- Opens Add Orders for current patient (if

- Displays any actions check-marked by sender

Be aware Actions in Documents affect the HIM
system!
20Signing Documents
- Sign button selected by default.
- Click OK to sign current document.
- Click OK Next to sign current document and open
next document. - Once a document is signed, it will no longer
appear in the Messages folder. - HIM is automatically notified when the document
is signed.
21Refusing Documents
- Click on Refuse radio button.
- Select a reason from drop down list.
- Click OK or OK Next.
- Currently, Refused documents remain in the
physician Inbox with an updated status, UNLESS
they are forwarded.
22Modifying Documents
- Right-click in opened document.
- Choose modify from the pop-up menu.
- Edit in standard PowerChart document window.
- Do not use Sign in this window.
- Choose Save Close.
- Then sign in Message Center.
Clicking on Sign while in Message Center will
create an extra Completed deficiency for the
document. The document must be signed in Message
Center for it to be removed from the providers
folder.
23Orders
To open an Order for Signature, double-click the
order, select the order then click open, or
right-click and select open.

- Approve button is selected by default.
- Click OK or OK Next to approve
- (OK Next opens the next order on the list.)

- Orders can be approved in Groups
- Select a group of orders with one of the standard
window methods. - Select continuous orders with ltClickgt then
ltShiftgtltClickgt. - Select individual orders with ltClickgt then
ltCtrlgtltClickgt, ltCtrlgtltClickgt. - Select all orders with ltCtrlgt ltAgt
- Right-click to bring up the pop-up menu.
- Choose Approve (no dose range checking)
28Refusing orders
- Click on Refuse radio button.
- Select reason from drop-down box.
- Click on OK or OK Next.
- The refused order is automatically routed to the
designated Administrator (and no longer present
in the physicians Inbox).

32Opened Document to Dictate
The Opened Document window set up resembles
Orders and Messages.
33Action pane for dictate message
Document to Dictate messages do not contain any
active links to ProFile. Although the ProFile
deficiency allocation is automatically updated
once COMPASS receives the transcribed dictation,
the provider must manually mark the message as
complete to remove it from the Inbox Items. The
Refuse button cannot be used unless the message
is forwarded. This creates a Sign allocation
for the recipient but does not update ProFile for
the original provider. Do NOT use the refuse
option. Note Document to Dictate can also
be marked complete by using the appropriate
taskbar button.
