3Steps of Making a PowerPoint Presentation
- Create a background and text boxes with
- A template
- A modified template
- A customized template
- Create slides with text, graphics and save the
presentation - Add additional features to slides
- Set up action buttons or text links to a slide or
a web site. - Add date, slide number, or foot notes to all
slides. - Set up transitions between slides.
- Set up effects for showing text in a slide.
- Set up a way of showing a slide show,
automatically or manually changing a slide .
4Create a New Presentation with a Modified Template
- File-new- Click From design template link on the
right side of the window-select a template-select
a layout - Modify the template
- View-Master-Slide Master
- Insert a clip art with (a photo can be used
as background) - Insert an image file with (e.g. college
logo) - Create a word art from the drawing toolbar.
- Reformat the text with formatting tools
- You must highlight the text before reformatting
- Go back to normal view by clicking
5Presentation Title and Subtitle
- You see the first slide of your presentation with
the title and subtitle box. - Click the title box and type the title.
- Click the subtitle box and type the subtitle.
- Move the text box by dragging a border.
- Resize the text box by dragging the corner or
middle point of a border.
6Create a New Slide with Text
- Click the New Slide icon on the formatting tool
bar. - Click the title box and type the slide title.
- Click the subtitle box and type the first line.
- Hit enter key to start the next line.
- Use Tab to indent the line to the right. Type
text. - Hit enter key to start the next line.
- Use ShiftTab to indent to the left and type the
third line. Hit enter key.
7Insert a Clip Art from Clip Gallery On-line
- Insert-Picture-Clip Art
- Select from the bottom
of the clip art pane. - The Microsoft Clip Gallery site will open with
Internet Explorer - Look for a picture, you may
- Type a keyword and click go button. You may
select a search result as animation for
animated picture.
8Download an Image from Clip Gallery
- Check the underneath the image you would
like to download. - Click the download button.
- Click the download button and Open button.
- Right-click the image and select Copy.
- Go back to the PowerPoint window and click Paste
icon.
9Modify the Image
- View-Toolbars-Picture, this will show the Picture
Toolbar - Select the image.
- Use to adjust the contrast.
- Use to adjust the brightness.
- Use to crop the image.
- Click , draw the area you want to crop on the
image, click again. - You can only re-color the images in Clip Art
type. - You can only adjust the brightness and contrast
of an image in Photograph type.
10Recolor the Image
- Select the image, click on , select different
colors in the New column.
11Group Images
- When you have more than one images in a slide,
you may group them into one image. - Insert another image.
- Select the first image.
- Press Shift and select the second image.
- Go to Draw at the bottom left corner.
- Select Group
12Change Image Order
- An image or a text box is placed in a layer.
Sometimes an image covers up the text box. You
can place the image behind the text box. - Select the image
- Pull down the arrow next to the Draw at the
bottom left corner. - Select Order and select send to Back.
13Add a Transition Among Slides
- Go to view - slide sorter
- Click Transition button on the upper right
corner. - Select a transition.
- Select a speed.
- Click Apply to All Slides button.
14Customize a Slide Transition
- You may set up the transition speed for the
selected slides in the Slide Sorter view - Select the slides you want to modify the
transition (ctrlselect for multiple slides). - Go to Slide Show menu and select Slide
Transition. - Select a speed.
- Click Play to see the change made.
15Add Text Animation
- This adds animated texts-show text line by line.
- In the Slide Sorter view
- Select slides you want to have text animation.
- For multiple slide you can press ctrl key when
selects more slides. - Go to Slide Show menu and select Animation
Schemes. - Select an animation.
16Image Animation, Reorder Animation
- In Normal View, select the slide with images, go
to Slide Show and select Custom Animation - Select the image you want to appear animated.
- Click Add Effect down arrow.
- Click Entrance and select an effect.
- Select After Previous in Start.
- Select From Left in Direction
- Select Medium Speed.
- Select the second image and repeat the same step.
- Reorder
- Select an image or a text item.
- Click or
- Preview
- Click Play or Slide Show button to preview the
animations.
17Show a Presentation
- Set up a way of showing a slide.
- Show a presentation with mouse-clicking or arrow
keys - If you want to show a presentation in this way,
you directly click on the . - Show a presentation with automatic loops.
- Slide Show-Set up show-select
and - Slide Show-Rehearse Timings
- Click the mouse to time the advancement of all
slides. - Click Yes.
- Click on to show the automatic presentation.
- Before you show the presentation, you click on
the first slide on the outline window to set up
the beginning slide for the presentation .
18Set Up Timing for Slides
- Select a slide in Normal View.
- Select Slide Transitions from Slide Show menu.
- In Advance Slide, check Automatically after and
select a time (second). - The length of timing may be applied to all slide
by clicking Apply to All Slides.
19Change Bullets for All Slides
- Go to View, select Master and Slide Master.
- Select the bulleted text box
- Format-Bullets and Numbering
- Select a color
- Select Customize-select a symbol. Click OK
button.
20Change Template and Layout
- Change a template
- Click Design icon on the formatting tool bar.
- Select a design template from the Task Pane
window. - Change the layout of a slide
- In the Normal View, select a slide.
- Select Slide Layout from the Task Pane selection
menu. - Or go to Format, select Slide Layout.
- Select Slide Layout
- Select a layout.
21Color Scheme for a Template
- When you use a template, you may change the color
scheme for the same template. - In the Design Template Task Pane
- Select Color Schemes. You will see a group of
color schemes listed. - Select a color scheme
22Change the Background Color
- Format-Background
- Select fill effects
- Select a different color and style. Click OK.
- Click Apply to All or Apply
23Add a Background to a Slide
- Draw a background.
- Go to the slide, select tool in the
drawing tool bar. - Draw a large rectangle. Drag one of the four
corner box to enlarge the box as the same size as
the slide. - Color the rectangle
- Press the arrow down till the color template
shows. - Select a color
- Select Fill Effects
- Select Texture tab and a texture. Click OK.
- Select two colors and a style, click OK.
- Go to Draw in the drawing tool bar, select Order,
select Send to Back.
24Add a Clip Art Image as Background
- Insert-Picture-Clip Art
- Type a keyword in search box
- Click go button.
- Select a photo from the Results window to put it
in the slide - Enlarge the photo till it is the same size as the
slide. - Go to Draw at the left bottom.
- Select Order
- Select Send to Back
- You may need to change the text color.
- Highlight the text
- Click text color
25Reorganize the Order of Slides
- In the slide sorter view
- Drag the slide and drop it to another place.
- If you reorder a group of slide, you use ctrl
to select slides you need. Then drag the
selected group and drop it to another place.
26Copy and Paste a Slide
- You can duplicate a slide in the same file.
- In Slide Sorter view or Normal View
- Select the slide and click from the
standard tool bar - Click where you want to paste this slide and
click - You can use the same way to copy a slide from
another file to the current file.
27Insert a Slide from Another Presentation
- To use a slide from another file
- Insert-Slides from File, click Find
Presentation tab. - Click Browse button to locate the file.
Double-click the file to open. - Select the slide, click OK.
28Add Date and Number on the Slide Show
- View - Header and Footer
- In Slide Tab Check Update Automatically, click
Apply to All. - In Notes and Handout Tab Check Update
Automatically, click Apply to All.
29Create and Modify a Table
- Create a table
- You may delete the text box before adding a
table. - Select the text box and click Delete key.
- Select the table icon from the standard tool bar.
- Select a certain number of columns and rows.
- Type information in table cells.
- Modify a table
- Use the table tools to modify the table.
30PowerPoint Drawing Tools
- Drawing tools-bottom of the window
- You may draw a Word Art in the Slide Master view.
- AutoShapes-select a shape, draw a shape
- Fill Color-select a color for the shape
- Insert WordArt-select a word art-type text
- Format word art-select a color
- Text box-type in text

31Create an Organization Chart
- Click the Diagram icon from the Drawing
toolbar. - Select the organization diagram and click OK.
- Type text in the chart boxes.
- Add a chart box
- Select the box
- Go to Insert Shape from the Organization Chart
toolbar. - Select a shape Subordinate, Coworker, Assistant.
- Change box color
- Select a box
- Use the fill color or line color from the drawing
tool bar to change the box color or the line
color
32Hyperlink to a Web Site
- A text can be converted to hypertext linking to a
web site, a slide, or an email window - Highlight the text, click , type in the
web site address. Click OK.
33Hyperlink to a Slide
- Highlight the text, click , select
, select the slide to which you want the
text linked, click OK.
34Hyperlink to Email
- Highlight the text, click , select
, type the email address, click OK.
35Action Button to a Slide
- Action button is a clickable button to lead you
to another slide or to a web site.
36Action Button to a Web Site
- Slide Show-Action Button-select a button, draw
the button. - Select URL, Type the web site address
- http//www.commnet.edu. Click OK to close two
windows.
37Hide a Slide
- Go to Slide Sorter View
- Select the slide you want to hide during your
presentation. - Go to Slide Show and select Hide Slide icon.
- To show the slide again, select the slide and
click Hide Slide icon.
38Create a Summary Slide
- You can create a summary slide containing
bulleted titles from selected slides - Go to Slide Sorter View
- Select slides
- Click a slide
- Hold the Ctrl key and select other slides.
- Click Summary Slide icon at the upper
right corner - The summary slide will be inserted before slide
2 - You may change the order of the summary slide by
dragging it. - This practice can be done in a previous practice
slide or slide presentation.
39Create a Mini Slide Show
- You can select some of slides from your
presentation to create a mini slide show . - Slide Show-select Custom Shows
- Select New button. Type a name as mini show.
- Select a slide on the left window, click Add
to bring it to the right window. Repeat the same
step to bring other slides. - Click OK.
- Click Show button to show the mini presentation.
40Keep Fonts in a Different Computer
- Sometimes when you show a PowerPoint presentation
in a different computer, the fonts may have
changed. - To keep the same fonts on any computer
- File-save as
- Press Tool and select Save Options. Check
Embeded True Type Fonts. Check Embeded
Character in use Only. Click OK.
41Export a PowerPoint File to a Word File
- You can convert a PowerPoint presentation to a
word file - Go to File, select Send to , select
- Select a type of word file and click OK
- The PowerPoint file will be converted to a
selected word file. Save the file as
practice2.
42Convert a Presentation to Web Pages
- File-Save as Web Pages
- Click Change Title button. Type the title you
want for the web page. - Click OK. Click save.
43Preview the Web Page with Internet Explorer
- Double-click Internet Explorer icon on the
desktop. - Go to File and select Open
- Click Browse button. Locate your folder in My
Documents. - Double-click the file named ncaawomen.
- Click OK.

44Import a Word File to PowerPoint
- Click and locate the folder from which the
word file is saved. - Select All Files in the file types of box.
- Select the file slide
- Click
- A blank presentation will be created.
45Change the Text Level
- You may need to change the text level to embed
text to a specific slide. - Click Outline tab in the Normal View.
- Select the slide with the text you want to embed.
- Click Tab key to bring it to the slide.
